SHRUB, Swap & Reuse Hub - Project Coordinator

Job Share for 21 Hours per week

Fixed term contract until March 31st 2018

Salary £27,000 PA pro-rata

1. Job Purpose

●To coordinate overall delivery of the SHRUB project in conjunction with the other Project Coordinator.

●To recruit, induct, coordinate and engage with current and new volunteers to enable the activities of the SHRUB, with the aim of promoting sustainability, and achieving agreed carbon emissions reduction targets.

●To coordinate the day-to-day running of the Swap Shop, including;

ocoordinating volunteers to keep the space open

oupdating and pricing stock

oincreasing the throughput in the shop

omaintaining a high standard of shop and stock

orecording carbon emissions savings

oachieving Revolve accreditation (reuse standard for excellence)

2. Main Responsibilities

30% / Recruiting, inducting and coordinating volunteers / ●Develop effective processes to recruit and induct 200 volunteers by year end
●Develop regular comprehensive induction sessions which ensure Swap Shop volunteers; 1) understand the co-op structure and governance; 2) are trained in practical aspects of the Swap Shop including recording carbon savings; and 3) are confident to talk with customers about what the SHRUB is and does
●Develop induction processes for wider volunteers and the Board of Directors.
●Ensure that all volunteers are supported in their role and able to contribute to the decision-making of their Working Group.
●Develop ‘Member Journeys’ that people can follow according to their interest and level of commitment, to gain new skills and experience and try their hand at the different aspects of good co-op governance.
●Coordinate Swap Shop volunteers in accordance with our Working Group policy and form and facilitate a Shop Working Group / 200 volunteers to be inducted
30% / Coordinating and maintaining the shop space / ●Coordinate the Swap Shop volunteer rota, ensuring there are two or more volunteers at all times and that the shop is open consistently 4 days per week (currently Tuesday, Wednesday, Thursday and Saturday 2-7)
●Ensure that the Swap Shop is run to a high standard by coordinating the effective sorting, pricing and presentation of incoming goods to maintain a high quality stock and shop appearance.
●Aim to promote the SHRUB ethos in all customer interactions.
●Develop an efficient and effective system of recording carbon savings from incoming and outgoing shop goods.
●Complete Revolve Accreditation - the reuse quality standard for Scottish stores that sell second-hand items
●Modify the shop layout and feel as appropriate to the time of the year and the changing priorities identified by the co-op members.
●Promote effective use of space throughout the year to facilitate the Shrub’s diverse range of activity. / Maintain consistent shop opening hours 4 days a week

Achieve Revolve Accreditation
15% / Support effective coordination between all volunteers, members and staff of the SHRUB / ●Organise and facilitate bi-weekly open meetings with the other job share Project Coordinator. Develop system for prioritising agenda items in consultation with members and ensure agenda is shared in advance. Share minutes with membership and ensure action points as completed.
●Ensure that the various Working Groups across the organisation are managed in accordance with SHRUB Working Group policy. / 1 open meeting per month held by each Coordinator (total of 2 a month)
10% / Reporting progress to funding bodies / ●Make sure staff collate and submit monthly data (carbon savings etc.) required by the CCF.
●Coordinate with the the other job share Project Coordinator to collate and produce the year-end report.
●Work with the Board of Directors, Administration team and volunteers to identify targets and implement solutions to ensure that the conditions of the CCF funding is met. / Monthly reports of shop carbon savings data plus year-end report submitted to CCF on time
10% / Coordinating End of term collection and Freshers’ Free shop alongside the other job share Project Coordinator. / ●Jointly complete duties to execute the End of Term collections from student halls, storage of goods over the summer and run the Freshers’ Free Shop at the beginning of the subsequent university year.
●Implement a plan to increase new members gained from Freshers’ Free Shop event. / 128 tonnes CO2e saved from event in line with CCF target
5% / Promotional activities / ●Coordinate with the Outreach & Communications Facilitator and Working Group to ensure SHRUB activities are promoted to the student and wider community.
●Promote the SHRUB at sector-relevant conferences and events

3. Knowledge, skills & experience needed [E = Essential; U = Useful]:

EEducated to HNC/HND, plus 2 years relevant work experience - or equivalent

E Able to work on own initiative, organise and prioritise own workload and activities

E Experience delegating effectively to successfully deliver a service

U Experience running and promoting events

Coordinating People

EExperience supporting and empowering teams of volunteers

E Able to liaise and coordinate effectively with people inside and outside the organisation to complete projects and move the organization forward

E Experience planning and facilitating meetings

E Experience with or good knowledge of co-operative principles, non-hierarchical forms of organizing and consensus-decision making. Ability to teach others about and engage them in these ways of working.

U Experience managing a shop or similar space and creating a high-quality experience for service users.

Communication

E Strong written and verbal communication skills for a fast-paced working environment

E Full proficiency with Microsoft Office packages and familiar with Google Accounts

E Able to create written and/or visual resources for publication

U Experience of creating, editing and updating web content and using social media to engage followers in a project

U Experience with grant applications, and effective communication with and reporting to funders.

Environmental Awareness

E An understanding of waste and carbon challenges and passion for finding creative solutions to these

E Experience of promoting ideas for change and achieving positive behavioural outcomes

E Working knowledge of environmental behaviour change and ISM Programme.

U Experience working in an environmental or social not-for-profit organisation

5. Dimensions & Job Context

The post holder will work as part of the cooperative team that implements the overall ‘Edinburgh’s Creative Reuse Hub’ project with volunteers and staff members. The post holder will be based at the Shrub premises at 13 Guthrie Street in the heart of the city, while reaching out to other agencies and academic and administrative colleagues and students across Edinburgh.

The post is funded through the Scottish Government Climate Challenge Fund and as such the project must conform to the funder’s accounting and project reporting requirements.
