Affiliate Meeting Minutes

September 11th, 2006

I. CDDO Updates:

  Affiliate Report (handout) – Approx. 30 individuals came off the waiting list this year.

  BASIS Screener II – Susie Kirkwood has been hired for the BASIS Screener II position effective today. She has worked for TARC several years in the Children’s Services division.

  Mitzie Tyree’s last day as Funding Coordinator will be Sept 15th as she has accepted a position with TARC Self Determination. Interviews for her position have been scheduled.

  Timili Gartner is the CDDO’s new Quality Management Coordinator.

  Annual TCM review will begin in October – Timili is sending out information to all Case Management providers. The same seven areas will be reviewed again.

1) BASIS – scheduling of BASIS assessments per CDDO policy. 2) Timely submission of Plans of Care. 3) Verification of TCM’s caseload between the TCM’s list and the BASIS report. 4) Case Notes 5) Billing Accuracy 6) Person Centered Support Plans and 7) Annual training requirements for TCM’s.

  CDDO web based system (BCI) – Providers to have read rights of the system for those individuals they provide services to. Cheryl Davenport, CDDO IT Tech will meet with affiliates who are interested in accessing this system to set up a training. If you are interested please let Ramona know.

  Affiliate provider satisfaction surveys – The surveys will be in the mail soon. These will go to the contact person listed on the Affiliate list. The survey will also be available to complete electronically.

II. HCP/CSS Updates:

  Extraordinary Funding Tool – Ramona forwarded Greg’s (MRDD Program Manager) email to affiliates that are currently accessing Extraordinary Funding. July, August and September’s will be due by December 1st. Starting October 1st all documentation for Extraordinary Funding will need to be turned in with the Plan of Care. Just a reminder to please submit these a month ahead of time.

  BASIS Enhancement Workgroup – There will be revisions made to the BASIS services page. With the new changes, it will reflect individuals receiving Community Support funding and when waiting for HCBS funding. BASIS roundtable meetings will be starting soon. A work group has been meeting to update the manual. January 1st is the target date for implementation of the new changes. Minutes from this workgroup are posted on the HCP website. Ramona will forward information to providers as it becomes available.

  Eligibility roundtable meetings – Two meetings have already been held. Rachel Munuz and Sabrina Winston attend the quarterly meetings.

  Waiver Changes – still waiting on CMS to approve.

  Brian Bolen (HCP) is signing off on all licensing information.

  It was discussed that an email had been sent regarding the Working Healthy Program for Personal Assistive Services. It stated in the email that CMS has approved this. Is this the same as the Personal Assistive Services on the MR/DD Waiver? Liz Long will get clarification on this.

  2006 Interhab Conference October 25th – 27th.

IV. Info/updates/resources/trainings:

  Supporting Relationships Training on September 19, 2006 from 8:30am-12:00pm. Last one for the year. Please RSVP to Jennifer Schreiner.

  CDDO Quarterly Trainings on September 28, 2006 – CDDO Overview 8am-9am, Article 63/Licensing 9am-10am, BASIS 10am-12pm, Beginning Plan of Care from 1pm-5pm. Last one for the year. Please RSVP to Jennifer Schreiner.

  PCSP Training on October 12th is full. A waiting list has been started.
