SHAC Managers and Coaches Guidelines

All managers and coaches are expected to familiarize themselves with these guidelines and adhere to the policies contained herein. Prior to each sport season every manager and coach will provide the sport coordinator with a signed and dated copy of these guidelines.

BEHAVIOR

  • Being a Sacred Heart manager brings with it the responsibility of behaving in a Christian manner. Coaches are expected to be a reflection of and a witness to their Christian faith. It is hoped that coaches will show by example that they are more concerned with the well-being of the children and the good of the game rather than their own need to win.
  • North County C.Y.C. by-law Rule No. IV, Sect. 3F states “Smoking and intoxicating beverages are prohibited on the bench, and on the field, and in the gymnasium”. Drinking and/or smoking are a personal decision. However, in the best interest of the sports’ program and for the benefit of the children, the Athletic Committee discourages drinking and/or smoking before practices or games. No alcohol is to be consumed at the field or court until children are returned to the responsibility of their parents.
  • Recognizing that a child’s interest in a sport is to play, the Athletic Committee strongly suggests that the amount of playing time be carefully considered so as to be fair and equitable. Playing time should exceed the minimum required by the North County C.Y.C., for each sport. Per the NCCYC Constitution every player MUST play a minimum of 25% of every game. The Sacred Heart Athletic Committee strongly encourages every coach to play every player more than this minimum requirement!
  • Just as control of play is important, so is the coaches’ control of their actions & language directed at both referees and players. Abusive and/or foul language will not be tolerated.
  • In addition the manager is responsible for the actions of his/her coaches, players, and spectators. By North County C.Y.C. requirement managers are expected to positively influence their actions.

POLICIES

  • The following policies are MANDATORY. These policies were put into place by the St. Louis Archdiocese in an ongoing effort to protect our children.
  • Missouri Division of Family Services mandates the completion of a form involving a background check for all volunteers. This form is to be completed every two (2) years (in even numbered years) and will be distributed by the sport coordinator.
  • All managers and coaches are required to attend a coaching seminar called‘Coaching to Make a Positive Difference’– see for dates, times and locations
  • All managers and coaches are required to attend a seminar titled ‘Protecting God’s Children’- see for dates, times and locations
  • A Code of Ethics form must be signed and returned to the Sacred Heart Rectory

UNIFORMS AND EQUIPMENT/TOURNAMENTS

  • On average, $15,000 - $20,000is spent annually to outfit and equip our teams.
  • Currently the equipment coordinator issues uniforms and equipment to each team manager. Each parent is individually responsible for returning their child’s uniform in order to receive their uniform deposit check.
  • Sacred Heart teams are required to wear only uniforms issued by the Sacred Heart Athletic Committee.
  • Any team using an approved North County C.Y.C. roster can use the Sacred Heart uniforms for leagues and tournaments immediately before, during, and immediately following the season for that sport. All members of the team must be invited to play in the tournament. If additional players are needed to field a tournament team these changes must be approved by the sport coordinator and the Chairman BEFORE the tournament begins.
  • No team is allowed to use Sacred Heart as a team name unless organized through the Sacred Heart Athletic Committee.

GYM AND FIELDS

  • As a Parish building, the gym is owned by members of the Parish. It must be treated with respect in its’ care, use and occupancy. Use of the gym must be coordinated through the Sacred Heart Athletic Committee.
  • For coaches using the gym, entry is made by obtaining a keyfrom the rectory. Each coach will be assigned a key for the duration of their season. The key MUST be returned to the rectory at the conclusion of the season. Each coach is responsible for the return of their assigned key.
  • Ceiling lights are activated at the breaker box, located on the wall at the end of the bleachers. Activate only labeled breakers. These breakers should be turned off by the last team practicing. The main gym lights are vapor lights. Should a ceiling light be inadvertently turned off, return the breaker to the ‘ON’ position. The lights will come on in 5 to 10 minutes.
  • Each team should police the bleachers and gym area for cans, trash, etc … All coaches is asked to dry mop the gym if they are the last one to use it.
  • Only individuals connected with the team(s) practicing are to be allowed in the gym. No one should be allowed in the school or halls.
  • Black Soled shoes are not to be worn on the gym floor.
  • Our concession stand is a source of income for the athletic program at Sacred Heart. Thus, one of the duties of being a manager will require that certain times throughout the season you will be required to provide workers, from your team, to man the concession stand. You will be notified in advance of your date(s) and time(s). Please remember that since beer is sold, minors (children under 18) may not serve or handle beer receipts in the concession stand.
  • Your participation and/or help in various fundraisers (Fun Fair, Tree Lot, Golf Tournament, Basketball Tournament, etc …) are greatly appreciated. All proceeds benefit the sports program.

PRE SEASON MEETINGS

  • Just as players learning and development is essential, so too are the coaches’ willingness to learn. Coaches should avail themselves of certain pre-season meetings which are designed to administer leagues or provide continuing education in the sport
  • At the pre-season meetings, schedules will be distributed by the sport coordinator. He or she will familiarize the managers with the schedule setup.
  • Requests for practice times for fields and gyms will be taken at the Sport Kick off meeting. Teams not represented at this meeting will have their requests filled last.
  • Any questions regarding league play should be addressed to the ‘PageCoordinator’ listed at the top of the schedule.
  • Game results must be phoned in by the Home team to the ‘Page Coordinator ’.
  • Game cancellations are posted through the North County C.Y.C. hotline. This number 921-CYCBis for Managers use only.
  • Game forfeits are authorized only by the ‘ Page Coordinator ‘and NOT between managers.
  • There is a $25.00 fee assessed to the Parish forEACHforfeit. After three forfeits a team is disqualified from league play.

FINAL NOTE

  • The preceding is meant to be a guideline. In the case of inappropriate behavior, the Athletic Committee reserves the right to remove a manager and/or coach, after a hearing according to the following procedures:
  • The Chairman will appoint representatives to substantiate the occurrence and to present the situation to the manager/coach.
  • Upon uncorrected action, the Chairman will convene a Hearing Board. This Board will consist of at least five (5) but no more than seven (7) Athletic Committee members.
  • This Board will hear any information relating to the subject or event and will vote to enact probation, suspension, or termination of the duties of the offending manager/coach.
