Setting up Hosted Exchange 2007

To set up Hosted Exchange 2007 for your organization, you need to:

  • Set up email notifications
  • Manage user accounts
  • Set up distribution lists
  • Add external contacts
  • Add public folders
  • Add user accounts
  • Enabling services for users
  • ConfiguringyourMX Records
  • Accessing your mailboxes

A. Setting up email notifications

Email notifications are the messages automatically sent to users when:

  • Mailboxes reach threshold limits
  • Mailboxes reach capacity limits

You can choose whether these notifications come from the system or from Microsoft Exchange.

You can change the templates used for messages that come from the system; you cannot change the text of messages that come from Microsoft Exchange.

These messages are separate from the automated email notifications the system sends when you add or remove user accounts. For information about changing these templates, see the email alerts section of the General Help.

B.Managing user accounts

Managing user accounts involves:

  • Adding user templates for Hosted Exchange 2007. To streamline the process of adding users, you can add a user template to pre-fill Hosted Exchange 2007 service settings in the add user wizards. For help with the add user template wizard, see the General Help.
  • Adding users with the HostedExchange 2007 service enabled. For help with the add user wizard, see the General Help.
  • Importing users. If your organization has existing users, you can speed the process of adding user accounts and mailboxes by uploading a CSV file.
  • Adding aliases (email addresses) for your existing Hosted Exchange 2007 users. By default there is just one email address created per user.
  • Managing delivery restrictions for each user. By default each user can accept messages from everyone. This feature can be used to provide spam-guard for organization users
  • Managing distribution list membership for each user. This feature will allow you to view/edit the membership of a user in different distribution lists available on your organization. By default no user is member of any distribution list.

C. Setting up distribution lists

If your service provider enables the distribution list feature for your organization, you can manage distribution lists through the organization control panel. Distribution lists enable you and your users to send an email message to a group of people by sending it to one email address. Only users with organization administrator privileges are allowed to create distribution lists. You can add distribution lists and add users to existing distribution lists at any time.

D. Adding external contacts

If your service provider enables external contacts for your organization, you can add external contacts in Hosted Exchange 2007. External contacts are the email addresses of people who are not members of your organization but who frequently interact with people in your organization. External contacts might include travel agents, caterers, vendors, or any other business associates your organization's users might need to contact. These external contacts can also be subscribed to the distribution lists you might have created for your organization.

E. Adding public folders

If your service provider enables public folders for your organization, you can add public folders and manage the permissions of the folders through the organization control panel. Additionally, you can use Outlook or OWA to create and manage public folders. Public folders can contain sub-folders.

F. Creating User Accounts

NOTE: If your user accounts are already created, proceed to section G.

Log into the online control panel at with the administrator username and password sent in the welcome email sent to the technical contact email address.

To add a user account:

  1. Go to the Add user wizard.
  2. On the top navigation bar, click users, then click add user.
  1. Complete the User Information form, then click Next. On the form, * indicates required information.
  2. Choose hosted exchange 2007, and then click next. If no services are listed, contact TELUS Support to enable services for your organization.
  3. On the service options page, click the blue icon to reveal the options

Select Type of Mailbox
Type of Mailbox / The types of mailbox available to your organization include: User; Room; Equipment
General Resource limits
Disk space / The maximum server disk space, in megabytes, available to the mailbox for Hosted Exchange 2007.
Disk space threshold / The percentage of disk-space usage that triggers disk-space alerts. If Hosted Exchange email notifications are enabled, the user receives an email alert when the disk-space usage of their mailbox reaches this percentage. This enables them to take action and delete messages or request additional resources before they run out of disk space.
If the disk space threshold is set to 0, the default value of 80% is used.
Select a mailbox template
Templates (enabled by your service provider) / The templates available to your organization are listed here. The mailbox options enabled by each template are determined by your service provider.
The template you choose determines the options enabled for your users, and the ways they can use their mailboxes. Make sure the mailbox type you select has the options you want to enable.
Other Options
Show this user in Address List / Shows the mailbox user's account information in the address book.
If this option is not selected, the mailbox user cannot access the mailbox using Outlook. The user can use only OWA, OMA, POP, IMAP, and Outlook Express to access the mailbox.
You see the following mobility-related option only if TELUS has enabled this feature for your organization.
Mobile Device Policy Settings
Mobile device policy / The mobile device policies available to your organization. You can add your own policies. The [global] policy is set by your service provider.
  1. On the service options page, complete the page as per the table below, thenclick Next.

G. EnablingServices for Users

NOTE: If you’ve already completed section F, proceed directly to section H.

You can enable services for users either when you add the user accounts or afterward. You cannot enable services for the default administrator account, however. To enable services for users after you have added them:

  1. On the top navigation bar, click users.
  2. On the users list, select the user you want to enable services for, then click overview.
  3. On the services page, click Add Service.
  4. On the add service page, select hosted exchange 2007, then click Next. If no services are listed, either all available services have already been enabled for the user or there are no services available to your organization. You can verify your organization's services on the Services page.
  5. On the service options page, click the blue icon to reveal the options
  6. On the service options page, complete the page as per the table below, and thenclicknext.

  1. Review the summary information about the services being added. To make changes, click Previous. To enable the service for the user, click Finish.

H. Configuring Your MX Records

To begin receiving external email, you will have to change the "MX" records associated with your domain name to:

yourdomain.com. IN MX 10 mx11.exchange.telus.com.

yourdomain.com. IN MX10 mx12.exchange.telus.com.

yourdomain.com. IN MX20 mx13.exchange.telus.com.

I. Accessing your Mailboxes

To use Outlook Web Access, go to

To help you implement Microsoft Exchange within your organization, TELUS provides an auto-configuration tool that will setup MS Outlook with the user's MS Exchange settings.

Login to the control panel at using the user account (not an administrator account) of the user to be configured.

  • To configure MS Outlook with the Professional package, use Desktop Outlook Setup.
  • To configure MS Outlook 2007using the AutoDiscover feature, you will first need to add the following DNS entry (CNAME) in your DNS zone file:

autodiscover.userdomain.com / CNAME / autodiscover.exchange.telus.com
  • To configure Outlook Express with a Basic or Enhanced package, use Desktop OutlookExpress Setup.
  • To set up Pocket PC or SmartPhone for ActiveSync, use Desktop ActiveSync Setup.
