SSB Training: SSB Basic Querying Tools

Logging in to Self Service Banner (SSB)

SSB is accessed through the CSM web portal “Trailhead”. To login, follow these steps:

  1. Go to
  2. Enter your login information
  3. Click on the Self Service Banner (SSB) icon at the top right corner.

SSB Tips: You will not need login again, as this is a “Single-Sign-On” feature in the web portal and the authentication should be handled automatically when you sign into the portal.

From the Main menu you can access the Personal menu and the Finance menu:

  1. Click on the Finance link.

Budget Status by Account

The Budget Status by Account goes beyond the quick query. It gives you the ability to drill down into the Year to date data by simply clicking on a link. You can view invoices, checks, journal entries, and etc.

  1. From the Finance menu, click on Budget Queries
  1. Pull down the drop down menu in the Create a New Query section, and select “Budget Status by Account” from the list.
  1. Click Create Query.
  1. Click on the columns that you want to pull up in your report and click Continue.

  1. Enter Values
  2. Select 2006 from the Fiscal Year drop down list (the system will default to FY06).
  3. Enter the capital letter O in the Chart of Accounts field. (After you do this once, the system will always default to the letter ‘O’ in the COA field).
  4. Enter your five-digitFund andOrg codes in the Fund and Organization fields.
  5. Click on the Submit Query button to execute the query.

  1. From here you can,
  1. Retrieve detailed information by clicking on a link. (Links are values with an underline)

  1. Download data to Microsoft Excel. Click on Download all Ledger Columns. You can either open or save the file. ** NOTE: The excel file will open inside the current SSB browser. Use the browser’s back button to return to the report detail.

Budget Status by Organizational Hierarchy

The Budget Status by Hierarchy is used to view summarized budget information by an Organization or Account code. Labor, Expense, Revenue, and Transfers are summarized for you.

SSB tips: To cancel a query, always use the red to stop the system and return to the same field. Using the browser’s back button will lock up the system and you will have to close the browser and log into the portal again.

  1. From the Finance menu, click on Budget Queries
  2. From the drop down list in the Create New Query section, select Budget by Organizational Hierarchy

Click Create Query

  1. Select the columns that you would like to see in your report

  1. Click Continue
  1. Enter Values
  1. Select 2007 from the Fiscal Year drop down list (the system will default to FY07)
  2. Enter the capital letter O in the Chart of Accounts field. (After you do this once, the system will always default to the letter ‘O’ in the COA field).
  3. Enter your five-digitFund andOrg codes in the Fund and Organization fields.
  4. Click on the Submit Query button to execute the query.

  1. Click on Organizational code to drill down for further detail.

SSB Tip:You can continue clicking on the underlined links to view more detailed information.

You can save your queries by entering a name in the field below the query and clicking on “Save Query as”. This will allow you to return and access a saved report at any time.

Encumbrance Queries

  1. When logged into SSB, click the Finance menu.
  2. Click on the Encumbrance Query link.
  1. Enter Values
  2. Select 2007 from the Fiscal Year drop down list (the system will default to FY07)
  3. Enter the capital letter O in the Chart of Accounts field. (After you do this once, the system will always default to the letter ‘O’ in the COA field).
  4. Enter your five-digit Fund and Org codes in the Fund and Organization fields.
  5. Click on the Submit Query button to execute the query.

Once the query results are produced you can continue drilling down to view document level detail.

Accessing a Saved a Budget Query

  1. From the Finance menu, click on Budget Queries
  2. Select from the drop down list in the Retrieve Existing Query section, your saved query
  3. Click Retrieve Query
  4. Click Continue
  5. This will populate all of the data that was saved
  6. If you would like to change any of the data, you may do so now. For example, you might want to change the Fiscal Period.

Click Submit Query
