Essential
Functions: / The receptionist functions as the primary front desk and telephone receptionist, and may provide clerical support to staff.
Core
Responsibilities: /
  • Screens and directs all incoming calls and messages to the appropriate person or department; takes accurate messages as required; places outgoing calls and coordinates conference calls.
  • Assists drop-in consumers and visitors in a courteous and professional manner; determines purpose of visit and directs to appropriate person or department
  • Routes incoming mail and correspondence; prepares outgoing mail, using postage-metering machine; prepares and arranges pick-up for express, special delivery, or courier services.
  • Schedules appointments, gives information to callers, and otherwise relieves staff of clerical work and minor administrative and business details.
  • Makes copies of correspondence or other printed matter, using copy, fax or scanning machines.
  • Responsible for maintaining the receptionist area in an orderly and businesslike manner.
  • Monitors consumer’s use of business center, video phones, and common areas.
  • May type routine correspondence and file correspondence and other records.
  • May help keep office equipment operational.
  • Attends staff meetings, takes and distributes meeting minutes.
  • Assists in maintaining agency-wide donor and donation records.
  • Other duties as assigned.

Education &Training: / HS graduate/GED / Additional clerical or receptionist training preferred.
Experience: / 1 yr. general office experience / Previous receptionist experience preferred
Special
Skills: /
  • Must have a working knowledge of and experience with MS Office software including Outlook and Word, and able to accurately type at least 35 wpm.
  • The position requires an individual with excellent customer service skills, a professional image, and the ability to communicate effectively with a wide range of people
  • Must be able to demonstrate the ability to operate centralized and text telephone equipment; apply discretion in handling confidential information and situations; function effectively under pressure of telephone and visitor traffic; communicate information courteously, accurately and effectively.
