Act as first point of contact for all visitors to the school, at all times promoting a positive image of the school.

Provide a secretarial service to the school involving typing, diary management, distribution of post, filing, dealing with telephone calls, ensuing well-presented and accurate correspondence, reports and other documentation.

Maintain pupil records manually and on computer to ensure up to date information is being held by the school and that sensitive information is secure and confidential.

Update the SIMS database to ensure accurate recording and retrieval of information relating to pupils attendance, assessment and statutory returns/ school census

Update and maintain school website and prospectus, ensuring that information is conveyed in a clear way that enhances the image and ethos of the school.

Collate and monitor applications for admissions, including new intake of pupils; provide prospective parents with information on the school; enter new intake onto the pupil’s database, ensuring that the necessary procedures are complied with.

To monitor attendance and work with individual students and families regarding strategies to improve attendance/punctuality-ensuring records are kept and feedback provided to the Headteacher and other staff as appropriate.

Complete relevant forms for pupils leaving the school; update the pupil database; and send pupil files and record cards to the relevant new primary / secondary schools to ensure that procedures are complied with.

Monitor and maintain office equipment levels, school uniform and house keeping

Administer medicines and first aid to pupils as appropriate and maintain records

In partnership with the HT, prepare all press releases and liaise directly with the media to ensure maximum exposure for raising the profile of the school.

Use and manage Teachers2Parents to communicate with parents by electronic means.

Prepare the weekly news bulletin and keep up to date information on screen in reception.

Arrange transport for a range of school activities including school journey, class outings, swimming and cycling.

Administer whole school events e.g. class photographs, Christmas cards, calendars and parents evenings

Collect and bank money relating to the above activities.

Fax orders to suppliers and check delivery of goods.

Arrange supply cover to cover teacher absence.

To process DBS checks and update the Single Central Record.
