1. The Appointment

Vision Studio School is seeking to appoint an exceptional individual asAttendanceOfficer.

Working with a high level of autonomy, you will provide effective and efficient administrative support service for the Studio School which will include duties coveringattendance and administration.

You will have recent, relevant practical experience combined with excellent organisationalandadministrative skills. You will have a working knowledge of office technology packages, including word processing applications, databases and spreadsheets. Ideally, you will have a good working knowledge of Capita SIMS.

You will have excellent interpersonal and communication skills as you will be the first line of contact with internal and external partners and clients. You should be flexible and adaptable, be able to work under pressure to tight deadlines and maintain accuracy and quality of outcomes at all times. You will be required to work alongside the team and on your own initiative as required.

You will be a highly self motivated, energetic and driven individual, encompassing a strong sense of autonomy. You will possess strong presentation and communication skills and be able to demonstrate achievement of targets.

2. The Post

2.1Main Duties and Responsibilities

Administrative Duties:

  • Act as the first point of contact for Vision Studio School, greeting visitors, ensuring security processes are in place and followed and providing hospitality as appropriate.
  • To provide administrative support to the school leadership team as and when required.
  • Maintain and provide accurate management information to support the work of SLT.
  • To use IT systems to produce reports, often to tight timescales, using word processing and record information including statistical data, providing reports to senior managers and other professionals.

Student Monitoring:

  • To fully engage with achievement and motivation strategies, celebrating school success and driving a passion for learning within the Studio School.
  • To promote excellent attendance, punctuality and conduct amongst all students and ensure the schools attendance procedures are maintained effectively.
  • To work with identified individual and groups of students, using regular attendance checks and contact with parents/carers and students to improve levels of attendance.
  • To work on initiatives which raise the awareness of school staff, parents and the community on the importance of school attendance.
  • To make unsupervised contact with families in their own homes and elsewhere to assess the reasons impacting on attendance of individual students, facilitating their return or access to regular full time education provision.
  • To establish and develop a professional service to support the school in raising attendance, investigating persistent absences and improving punctuality.
  • To initiate appropriate legal action with local authority officers to ensure the school is carrying out its statutory responsibility in respect of students.
  • To be fully aware of and carry out all work in line with the schools Child Protection Procedures.
  • To liaise and work with Personal Coaches and Tutors as well as other professionals in Police, Social Services, Housing, Health and any other statutory and voluntary organisations.
  • To keep clear and concise records of all consultations and to write any other reports i.e. annual action plans and summaries, as required.
  • To ensure all pupils attendance is accounted for and confirmed on work placement days.
  • To support the personal coaching team in assessing the suitability of, and placing students on work placements.
  • To acquire and maintain a working knowledge of the statutory framework relating to school attendance, child employment, child protection and SEND in order to be able to offer informed advice to parents, school staff, governors and others.

Finance:

  • Work with the SLT to ensure that financial administration is carried out in accordance with agreed
    procedures.
  • Ensure accurate and timely raising and processing of invoices.
  • Preparation of orders and identification of budget codes.

General

2.2Other Responsibilities:

  • To keep up to date, so far as necessary, for the efficient executing of the job, with new legislation, procedures and techniques and attend relevant mandatory training.
  • To be conversant with and participate in activities and developments at school, regional and national level which are relevant to the post.
  • To present and promote an appropriate public image in representing the School.
  • To undertake any other duties as may reasonably be required commensurate with the post.

Qualifications:
The ability to write to a good standard of literacy to include excellent report writing skills. / 
A-levels or equivalent level 3 qualification. / 

4. Position within the Studio School

The post-holder will report tothe senior leadership team.

5. Terms & Conditions

a)The post is offered on a Vision Studio SchoolTerm Time, Fixed TermSupportContract and is subject to those terms and conditions.

b)The salary will be within the Support Scale £16,148 - £17,501pro rata, per annum.

c)The post is term time only. (Holiday periods are specified outside of your working weeks.)

d)You will be required to work 20 hours per week on a flexible basis.

e)The Vision Studio School operates a contributory Average Salary Pension Scheme(Local Government Pension Scheme).
