Position Title:School Administration Officer(12 month temporary contract)

Role Type:Part-time, Tuesday to Friday (54 hours per fortnight)

Position Objective

The School Administrative Services provides assistance in the form of:

  • Clerical and administration services within a school.

Knowledge, Skills and Experience

oapplies knowledge with depth in some areas and a broad range of skillsin a variety of roles andtasks;
  • uses discretion and judgement in planning and organising andachievingoutcomes in timeconstraints
  • typically works under the general supervision and direction of aSchoolAdministrative Services Level 5 or Level 6 General Employee. This maynotapply to General Employees working in primary schools inRegionalDioceses that have an enrolment of less than 100 students where a Level5 or 6 employee is not employed;and
  • performs duties that typically require a skill level which assumesandrequires knowledge and training equivalent to completion of certificate III,orcompletion of year 12 or completion of certificate II, with relevantwork experience.

Major Accountabilities

  • a wide range of professional support, administration, secretarial and clerical duties, including typing, word processing, data entry, maintaining email and computerised records, database information, staff recruitment administration, Google applications, electronic rolls, attendance records;
  • responding to enquiries from students, parents, employees, and the general public;
  • maintaining an effective presentation of the school office environment
  • undertaking reception and general office duties; assisting with management of the school office;
  • assisting in planning future office and learning space organisational or resources and equipment needs
  • coordinating school functions and events;
  • providing administrative support to school leadership, including arranging appointments, diaries and preparing both confidential and general correspondence;
  • assisting with the preparation of internal and external publications including school websites, publications, newsletters and other media;
  • assisting the First Aid Officer in the day-to-day operation of the sick bay;
  • support Leaders of Learning to prepare and collate information for internal and external publications and presentations;
  • working collaboratively with staff involved in the organisation of school events and activities such as assemblies, photo days, compliance activities. The person will assist with the logistical preparation and implementation for such events;
  • assisting with implementing and maintenance of the schools WHS Audit tool and Annual plan assisting with basic follow up of WHS issues and implementation of WHSmanagement system, including checking licenses of onsite contractors;
  • providing the principal with assurances that the school is receiving value for money by ensuring maximum use of CEO preferred suppliers, government contracts, and seeking and documenting quotations/tenders in accordance with CEO guidelines;
  • prepare quote specifications and tender documents as required;
  • supervision of the maintenance program;
  • management of the day to day maintenance needs of the school, including engagement and supervision of trades people and maintenance contractors; and
  • manage and liaise with builders in relation to major and minor capital projects.
