  1. Call to Order

Meeting was called to order at 7:08 PM by Dave Manor

  1. Approval of Minutes Board
  1. Table the approval for November 2016 minutes until next meeting.
  1. Treasurer’s ReportTim

A.Income/Expense Report – Note this will not be the final one for 2016. Tim will have a final report by year end for the annual meeting. Income figure netting extra $400.00 giving us $26,800 should be $28,400. Which makes us $1,600 shy of where we should be.

  • Dues - 8 people short.
  • RV Storage - $500 short
  • Clubhouse- where it should be
  • Boat Ramp – Right where we need to be

Note: Boat Ramp should not be prorated. Dues can be prorated.

Dave L. move to accept the Treasurers Report with the changes that Tim will make which is $250.00 more to RV/Storage and $250.00 more to Landscaping expenses.

  • 49 residents attended the Christmas Party. Everyone had a great time
  • Every one that attended received 2 gift cards.
  • Special thanks to Michelle’s husband for getting all the donations for the 50/50 drawing.
  • Spoke with some attendees and the assisted in the clean-up of the club house after the party. They also offered their assistance anytime the HOA needs volunteers.
  • Held the 50/50 drawing and collect $15.00 – Per Dave put towards the Easter fund.

C. New locks for remaining gatesRon

The lock for the basketball court is almost ready to install. Locks should be installed this week or next at the latest by New Years. The code will be changed as of February 1, 2017

D. InsuranceBoard

  • Liability Insurance – For officer’s of the HOA so if personally sued there is a $1,000,000 policy
  • Property Insurance – Common Ground Property (clubhouse, gazebo)
  • Total Spent $4,000 this year

Tim looking into a new company and has looked over the policies and they are very similar. But with the rush to make sure we are covered Tim thinks it would be better to stay with the current policies for 2017 and look into changing insurance for 2018 and possibly combine the policies instead of having separate policies.

  • For the record, our insurance company is Lykes Insurance Company. Both plans for liability and property insurance are provided through Lykes.

E. 2017 budget

Income/Expense for next year

Dues to be $120.00 for the year. 1st time the dues have been raised in 5 years.

Voting between $120 and $125 majority rules. Show of hands. – $ 120 is agreed upon

  • Boating and RV fees staying the same at $110.00
  • Non-Resident for Boating and RV the fee is $500.00
  • Guest Pass for non-member of Boating is $10.00 a day

Motion made to change the locks as of February 1, 2017

Upon Motion made by Greg and Ron 2nd . Approved by all.

Motion

If $110.00 boat fee is paid for the year and the SSHOA Member is accompanying the visiting party on their boat then there will be no charge since the boat fee is paid and the SSHOA Member gets boat pass through the boating chair person.

  • Limited to 3 watercrafts.
  • Time Frame: A guest pass must be asked for a week in advance.

James has made a motion, Ron has amended the motion Tim 2nd’s the motion. Approved by all.

Club House Rental

  • SSHOA Members are charged $100.00
  • Non SSHOA Members are charged $250.00

Condo Share Maintenance

  • Tim needs to increase this by 3% (comes to $1,611.95)

Estoppel Fees

  • Changes from $110.00 to $120.00

Landscaping/ Grounds

  • Keep it as status quo for now based on his current fees.
  • $700.00 a month ($8,400.00 Annual)

Clubhouse

  • $1,000.00 for expenses
  • Paint the club house
  • New Tables, Wi-Fi, Letters fixed, Trash Cans for bathroom, walls painted and floors cleaned, blinds that work.

Greg to make a motion for a Nest Thermostat for the clubhouse at a price of up to $300.00. Tim 2nd. All approved.

  • Lisa wants to change the locks.
  • Wants the locks to be different for the deadbolt and the bottom lock.

Greg to make a motion for locks. $50. Keyes to change the locks. $25 for the top and $25 for bottom.

James and Tim 2nd the motion, Approved by all.

Melinda Simmons has agreed to be Secretary. Cannot attend all meetings but is willing to type of minutes from recording.

Debbie Gillard will run for Board Member for 2017

Debbie Gillard will be in charge of the neighborhood watch

Dave M makes a motion to give $30.00 to send flowers to Emily Fitzgerald. She is in hospital having twins.. 2nd by Greg Approved all in Favor.
