RECEPTIONIST/ADMINISTRATOR

Title: Receptionist/Administrator (Grade 2)

Hours: 20 per week. 4 afternoons per week 1.30 p.m. to 6.30 p.m.

Salary: £7.08 per hour

Responsible to: Practice Manager

Job Summary: Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

To provide administrative support and services to all members of the Practice team

Responsibilities.

1.  Reception Duties.

a.  Use of computerised appointment system.

b.  Explain practice arrangements and formal requirements to new patients and those seeking temporary cover.

c.  Advise patients of relevant charges for private services, accept payment and issue receipts for same.

d.  Respond to all queries and requests for assistance from patients and other visitors.

e.  Accept requests for repeat prescriptions and prepare repeat prescription forms on the computer in turn with other reception staff.

f.  Arrange ambulance transportation for patients as required.

g.  Ensure reception and waiting areas are kept neat and tidy.

h.  Ensure consulting rooms are prepared in advance of each consulting sessions and checked and left tidy and secure at the end of each consulting session.

i.  Ensure correspondence, reports, results etc. are filed according to the practice protocols.

j.  Scan correspondence into the electronic patient records according to practice protocols.

k.  Retrieve and re-file records as required ensuring that strict alphabetical order is adhered to.

2.  This should not be taken as a full and comprehensive list but merely an indication of the type of tasks and responsibilities within the scope of a Receptionist/Administrator Grade 2.

3.  Additional Responsibilities

a.  To present the surgery in a way that is consistent with its work and philosophy.

b.  To attend and contribute to staff meetings and when appropriate attend training courses and sessions, even if they are on days that you would not normally work.

c.  To assist in promoting and maintaining your own and others’ health, safety and security as defined in the Practice Health and Safety Policy.

d.  You will support the equality, diversity and rights of patients, carers and colleagues.

e.  You will strive to maintain quality within the Practice

f.  You will endeavour to communicate effectively with everyone within the Practice, patients and their Carers, ensuring that you recognize people’s needs for alternative methods of communication and respond accordingly

g.  You will contribute to the implementation of the Practice services by:

i.  Applying Practice policies, standards and guidance

ii. Discussing with other members of the team how the policies, standards and guidelines will affect own work

iii.  Participating in audit where appropriate
