Summary

The Accounts Payable / Accounts Receivable Clerkprocesses all Accounts Payable and Accounts Receivable transactions for Capital City Fruit and related companies utilizing computerized accounting software as well as general bookkeeping duties and office administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other duties may be assigned.

  • Reconcile and count cash sales drawers
  • Enter cash receipts utilizing computer accounting software
  • Enter accounts payable vendor invoices utilizing accounting software
  • Match vendor invoices with purchase orders and check totals for errors
  • Match customer delivery tickets to sales orders and approve for customer billing
  • Research and resolve accounts payable and accounts receivable issues with vendors and customers
  • Enter credit memos utilizing computer accounting software
  • Update and reconcile sub-ledgers to the general ledger
  • Print or send electronic invoices (using e-commerce software) to customers
  • Track and request sales tax refunds
  • Print weekly accounts receivable statements
  • Post figures daily to excel spreadsheets
  • Print accounts payable checks and match with approved vendor invoices
  • Sort and mail receivable invoices and accounts payable checks
  • Prepare monthly expenses for payment, including adding ticket amounts, matching statements with original receipts and reconciling with statement total
  • Type letters and documents on official company correspondence when requested
  • Respond to incoming phone calls, office visitors and accurately record all messages as needed
  • Assist Controller and Staff Accountant with cash flow management,
  • Assist with month-end closing process especially customer rebate allowances and accounts payable accruals
  • Perform same duties for multiple companies

EDUCATION and/or EXPERIENCE

1 to 3years of Accounts Payable or Accounts Receivable Experience

Associates degree in Accounting

  • Must have basic knowledge of accounting principles.
  • Must be proficient with Microsoft Excel
  • Must be self-motivated to complete tasks.
  • Ability to perform basic math calculations.
  • Ability to interpret and work from oral and written instructions.
  • Knowledge and ability to communicate effectively and courteously with Capital City Fruit, Inc., staff, vendors and customers.
  • Ability to operate phone system and efficiently route incoming calls.
  • Ability to remain calm and professional during peak periods of activity.
  • Sufficient typing and 10-Key skills, as well as knowledge of computersoftware, particularly MS Windows, Microsoft Office and Quick Books.
  • Ability to work daily.
  • Must be diligent and detail oriented.
  • Must be able to function in a fast-paced, high volume environment.
  • Ability to handle multiple tasks simultaneously.
  • Must be able to communicate effectively via the phone.
  • Ability and knowledge to operate phones, faxes, copiers, computers and other office equipment.
  • Knowledge and ability to implement all safety procedures in accordance with established policies and procedures.
  • Ability to assist in other areas as required.

LANGUAGE SKILLS

Ability to read, analyze, communicate and interpret effectively with Capital City Fruit staff and customers.

COMPUTER SKILLS

Must be proficient in all Microsoft office products(especially Word and Excel) and experienced in using data entry processes, both numbers and words. Experience withQuick Books, Peachtree or other Corporate Accounting Software.

Experience with time-sensitive deadlines – accuracy with high productivity required.

MATHEMATICAL SKILLS

Must have strong mathematic skills to assist in calculations.

REASONING ABILITY

Mental capabilities to learn, comprehend, and communicate both orally and in writing. Logical thinking, the ability to manage multiple tasks and common sense are also necessary to accomplish tasks

PHYSICAL DEMANDS

Anticipated hours per week: 40 (Hours are cyclical based on seasonal demand and overtime may be required). Work week: Monday, Tuesday, Wednesday, Thursday, and Friday.

Hours of 8:00 a.m. to 4:30 p.m. [30 minute lunch]

  • Occasional lifting and carrying weights ranging from zero to 25 pounds
  • Minimal bending, kneeling, crouching and stooping
  • Minimal standing, climbing and reaching above shoulder height
  • Occasional operation of machines/equipment
  • Extended sitting at desk for work on a computer
  • Good vision, corrected to normal
  • Good hearing, corrected to normal; or ability to communicate/understand required information and to perform job duties
  • Ability to be mobile throughout required work areas within the building.
  • Repetitive hand movements through frequent typing and data entry

General office and warehouse conditions exist. Moderate temperature conditions. Minimal exposure to cooler temperatures (38 degrees Fahrenheit). Minimal exposure to elements or chemicals.
