BACKGROUND

Depaul UK delivers a wide range of support and housing services for young people and adults at risk of homelessness. We specialise in the provision of services that: prevent homelessness; increase the resilience of those we work with; and energise opportunities for employment, education, training and volunteering in the communities we work within.

Depaul provides housing and support through a range of different services, predominantly supported accommodation. We are also proud to lead Nightstop UK, a network of organisations who deliver the emergency accommodation model Nightstop.

We have a significant number of contracts and funding relationships in place that require regular reporting. For both Nightstop and Depaul’s wider accommodation work, we use In-form, a Homeless Link developed CRM database on Salesforce. The Database Officer will be responsible for data related and some monitoring and evaluation tasks across all of Depaul’s services.

SUMMARY OF JOB

Working under the direction, guidance and support of managers, the Database Officer will:

  • Produce reports and provide statistics as required.
  • Assist with the implementation of the newly developed Nightstop CRM across the Nightstop Network. This will involve the delivery of full training to all Nightstop staff.
  • Work with staff across Depaul to ensure data is inputted in a timely way and that quality, integrity and data security is assured.
  • Work with staff to identify areas for further development of our CRMs and carry out this development.
  • Analyse output and outcome data from data and produce information and reports that are accurate and accessible.
  • Work with services teams and Fundraising to develop and implement service level monitoring and evaluation frameworks.
  • Contribute to the design and delivery of a range of other research and evaluation projects undertaken by and/or commissioned by Depaul,

KEY DELIVERABLES

Database Management

  • Implement reliable and robust systems for the ongoing management and administration of, and reporting from, Depaul CRM’s.
  • Maintain Depaul’s CRMs as efficient and effective tools for supporting front-line practice and processes; tracking client data and outcomes; and informing research and data analysis.
  • Train and support both internal and external staff in using the relevant CRMs

Analysis and Information management

  • Analyse data from the Nightstop CRM, In-Form and other sources to produce information and reports for a range of audiences.
  • Support Depaul UK to be a learning organisation through the use of data and to influence our wider performance, policy and practice.
  • Ensure information and learning is disseminated effectively with key external stakeholders, particularly organisations in the Nightstop Network.

General Responsibilities

  • In conjunction with your Line Manager, to continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner.
  • To participate in internal/external meetings as required, and attend training events, conferences and other functions as necessary.
  • To participate in regular supervision and annual appraisal, and help to identify personal job-related development and training needs.
  • To ensure that all Depaul UK policies and procedures are being adhered to, particularly those relating to Health and Safety, Code of Practice and Confidentiality.

What we are looking for from you – Person Specification

1. Experience

  • Experience of using Salesforce, preferably in an administrative or developmental role.
  • Experience of delivering relevant training courses on Salesforce/database use.
  • Experience of providing technical support to Salesforce/database users.
  • Experience of undertaking data monitoring and analysis activities within a charity/social welfare environment.
  • Substantial experience of MS packages (particularly Excel and PowerPoint)
  • Experience of producing data/research reports for a range of audiences.

2. Knowledge/understanding/technical

  • An understanding of Salesforce/database architecture.
  • An ability to address the practical challenges of using and maintaining data systems within anational, multi-site organisation.
  • A broad understanding of the difficulties faced by people who are homeless and others in need due to poverty or disadvantage.
  • Knowledge of Equal Opportunities and Health and Safety, and the implications of both within the working environment.
