2PURPOSE OF JOB

2.1Provide Executive Assistant services to the Global Media Director(GMD) who has responsibility for RZIM Global Storytelling, Broadcast and Social Media Strategies and the management of media engagement and strategic organisational level communication, allowing the GMD to make the most productive use of time.

2.2Provide assistance to the GMDin ensuring communications with members of the Media/Communications Teamare timely and effective.

2.3Take an active part in the devotional life of the team.

3KEY ACCOUNTABILITIES

3.1Attend meetings on behalf of the GMD, representing their views and formulating necessary actions in consultation with the GMD in line with their responsibilities.

3.2Provide administrative and communication support to the GMD, representing the GMD as first point of contact over telephone, email and in person. This will include management of GMD’s email inbox and correspondence on behalf of the GMD and drafting and posting on social media on behalf of the GMB where directed.

3.3Responsibility for diary planning including daily/weekly itinerary, diary meetings to coordinate overall annual calendar working closely with RZIM global offices where appropriate.

3.4Responsibility for travel bookings and applications such as flights, ground transport, hotels, passports, visas, insurance, etc. for the GMD and for media team members working under the GMD.

3.5Building and maintaining effective relationships and communication at all levels with key external organisations and individuals.

3.6Keep track of movements of global team and key global events in order to help deliver the organisational media strategy.

3.7Working closely withMedia and Communications team, Programme Manager and EMEA team to map, scope and plan ahead for the UK and EMEA events, ensuring clear subsequent communication across all departments.

3.8Gathering updates from the team with regard to their upcoming events, media opportunities and travel and presenting these findings to GMD. This may also include monitoring our organisational diary tool and attending EA/PA meetings.

3.9Supporting articles and research for the GMD or organisation as requested including an awareness media-addressed issues relevant to apologetics.

3.10Coordinate and manage on-going and new projects as agreed with the GMD, including but not limited to administrative support for curriculum development of OCCA and developing the OCCA’s engagement with a variety of conventional and new digital media.

3.11Other duties as and when may be required to support the activities of the RZIM, the Zacharias Trust and the Oxford Centre for Christian Apologetics.

PERSON PROFILE

  • Graduate or equivalent standard of higher education/ equivalent. (Essential)
  • Significant experience in an office environment (Essential) but also has good experience as a Personal Assistant or in a similar role. (Highly Desirable)
  • Ability to take initiative and work with minimal supervision. (Essential)
  • Knowledge of office operational practices and processes. (Essential)
  • High level of IT literacy, with experience of using Microsoft office and email systems. (Essential)
  • Excellent verbal communication and interpersonal skills including experience of dealing with individuals at a range of levels. (Essential) Experience of dealing with Senior Management or Board Level Communications is desirable.
  • High standard of literacy and written communication. (Essential)
  • Experience of managing project work, including planning managing and organising the projects. (Desirable)
  • Ability to represent the Trust and the OCCA through direct personal contact, telephone or email communication. (Essential)
  • Flexible attitude, willingness to take on a variety of tasks including new challenges and occasional weekend work and possibly overseas travel. (Essential)
  • Open, honest and in sympathy with the aims, ethos and work of RZIM and a willingness to take part in the devotional life of RZIM. (Essential)
  • Experience of diary management and travel coordination. (Highly desirable)
  • Experience of helping coordinate meetings, organise logistics. (Highly Desirable)
  • A team-worker who is able to contribute to the working life and environment of a growing team. (Essential)
  • Highly organised and able to prioritize, with a proactive, problem solving approach to resolving issues where they arise. (Essential)
