Farmington Boys Basketball Booster Club minutes – Wednesday, 1/25/17

Approve last month’s meeting minutes:Heather noticed an incorrect date on the December minutes. These have been corrected. December minutes approved. First – Amy & Second – Emily.

President’s Report

  • Board Communication – Heather discussed how the board needs to all work as a team. The coaches wanted a booster so we would have events and bylaws. No board member should be singled out and members should not take things personally. We will all have different options, ideas etc. This is makes working with a team great! More ideas come to the table. We have a wonderful board along with our basketball families that all have the same goal in mind, making the season fun and memorable for our players.
  • Sandwiches – We will keep the current program in place for this season but discussed some possible changes for next season.
  • Split the sandwiches up by bus so there could be 3 options for signing up rather than 2. Many 10th graders go home on the early bus and miss out on the sandwiches.
  • Encourage families to split the costs rather than one family doing it all
  • Discussed no sandwiches and doing a granola bar, banana and water instead
  • No sandwiches for games close by.
  • Jen B. brought up reaching out to local businesses to provide sandwiches or a deep discount on purchasing them for the boys. Less work for families. (Jimmy Johns & Subway)

Coach Johnson said the boys really appreciate having the sandwiches. The water usually goes but they only eat about ½ of the bananas. We could pick up less of those going forward. He will check with the 9th grade coaches on their feedback as well.

Steve brought up how the sandwiches should stay in coolers and be for the bus. It looks bad if we are bringing food into another school when they provide concessions. This would be mainly for 9th and 10th grade teams.

Heather also mentioned it would be a goal of the booster club to cover all of the costs for sandwiches at some point.

Treasurer’s Report -

  • Bank balance = $5,338.00 (which includes our $300.00 cash for events)
  • List of expenses – prioritize – ensure we have $3,500.00 for next year
  • Senior night
  • Parents night
  • Banquet – meal for 10th – Varsity
  • Concessions/Trainer/Facility fees for the MYAS tournament.
  • For Admissions, coach Johnson said we can use the HS cash boxes and then just leave the amount we started with at the end of the tournament.
  • Sue D. advised Tiger Fan Club would help set up for concessions. We could use their items and reimburse after as well.
  • Also discussed other concessions we could bring in. Chick-Fil-A, Berry Blendz, Greg’s Meats.

Volunteer Director’s Report

  • Senior Night2/28/17 –Lynda has been working on the program for that night. Gathering pictures of the kids, comments from coaches, etc.
  • Seniors this year: Kole, Sam and Lexi (manager)
  • In the past, the seniors are recognized before the game and then a treat & coach speech after in the commons.
  • Coach Johnson will have a basketball with the team picture on it and have the team sign them.
  • Amy will take on doing a poster board with pictures of the seniors so fellow teammates can sign.
  • Discussed how many programs for the game. Lynda advised she printed through the school when she did this a few years ago. Black & white copies were free and color copies were $1.70 a page. Color copies go to the parents and B&W for everyone else. Was only $21.00 that year!
  • In the past, parents had put together videos as well. Coach Johnson said he will do a Year End video rather than one for Senior night.
  • Lynda will work on decorations. Mary has some of the items already. Table cloths, streamers.
  • Food for that evening: Cookies, lemonade and water. Emily will see what she can line up for cookies with the Bakery. Subway and Target were mentioned as well. We will include enough for JV and Varsity plus their families.

Coach’s Report

  • Girls Tiger Classic Feb 11-12, may be asked to fill shifts if girls don't. We will need to fill in for some shifts. We will receive money from Travel for this.
  • Feed my Starving Children volunteering – Monday 2/6/17 – 7:30-9:30pm – Lynda advised them we should have 36 people participating. Coaches DuBeck & Huppert plan to go. Coach Johnson will bring up to the players to see how many plan to go.
  • Fridley game rescheduled 2/1/17 – Early games - Varsity is at 6pm. Fridley does not have a 10th grade team. 9A, 9B, JV and Varsity only for this night.
  • Barley & Vine 2/2/17 –
  • Dinner will be at 6pm.
  • 9th – Varsity.
  • Buffet with Pasta, bread, salad.
  • We will need to coordinate rides for the 9th and some of 10th grade.
  • Parent’s night out at Barley & Vine – 2/3/17 after the game. Late night apps & drinks.
  • Parent’s night – 2/14/17
  • Typically a meal after the game for 10th – 12th.
  • Pot Luck or catered. Having it catered was the preferred way so parents can watch their kids play.
  • Planning for 100 people. (players plus parents) El Charro, Ole Piper, were thrown out there for options to check on pricing.
  • Players should write a Thank You note to their parents and then provide a small gift (no more than $5) to their parents. Coach Johnson will provide note cards for the boys to write Thank you notes on.
  • Boys could coordinate when going to purchase gifts for the non-drivers.
  • Would like Patty to take pictures that night as well. If Patty is unavailable, Mary D. offered up to take pics.
  • May 20-21
  • MYAS may want to use us as a host site if tournament is big enough –This decision will be made after 2/1/17. Discussions around other Booster clubs taking this on so we keep the good relationship with MYAS as they like our facilities. Heather will bring it up at the TFC meeting on 2/1/17.
  • MYAS tournament fundraiser - June 3-4 weekend has been confirmed
  • Volunteers will have a separate SignUp Genius for the tournament.
  • Coach Johnson will see if BMS is open do to a two location tournament rather than two weekend tournament. One chaotic weekend rather than two so close together.
  • Discussed having 5 hours shifts rather than a bunch of 3 hour shifts.
  • We will mirror what Travel does with site coordinators, signage, etc.

Vice President’s Report - Steve just added to our beginning conversation on board communication. We all have different opinions and the beauty of having a booster is we get to hear all viewpoints and then decide as a group what makes most sense.

  • Emily will call Celt’s Pub to get info.
  • Last halftime event for 2/3/17? – “Shot of a Pop” – HyVee may sponsor.
  • Mary has reached out to HyVee. Will follow up with board once she hears back.
  • Friday, 1/27/17 is “Youth In-House” night. We thought we need to have some activity for all the kids to do. Maybe a candy jar guess again?
  • Remaining gift certificates and T-shirts. Thought our last home game could be “first 50 families through the doors receive a prize” night. Thanking fans for the continued support over the past season.

Non-voting Member’s Report –

  • Paula Vettrus advised Shane was pricing out Stadium Seats for other fundraiser. Shane would be open to having another week or so block of time for the Boys Basketball as well.
  • Jean also commented how families all appreciate the efforts everyone puts forth for the program.

Webmaster/Communications Director Position–

  • Chuck has been transferring over to the new website. Still a work in process.
  • For the MN Basketball Hub info, we lose the ability to upload pictures once we pull that over. Coach Johnson will give Chuck access to the boys basketball site so the pictures can be added before the move.
  • Slack – Chuck offered up any training on how to use the app.
