Job Purpose: / You will have specific responsibilities which feed into the monthly payroll, which includes, for example, the processing and reconciliation of monthly expenses, timesheets and pensions administration.
You will provide high quality, effective and efficient responses to payroll queries.
As part of the payroll team, you will have interaction with the rest of the business and with other key teams, such as HR Shared Services and the Finance team, so you should have the ability to develop effective relationships with all stakeholders.

Key Responsibilities and Accountabilities

1.  Ensure the accuracy, completeness and timely payment of the weekly payroll.

2.  Processing and reconciliation of inputs into the monthly payroll, for example, timesheets, expenses.

3.  Administration and reconciliation of pension changes in the payroll system.

4.  Timely identification and resolution of payroll issues.

5.  Initially responding to any issues or complaints; escalating these to the Payroll Supervisor as necessary.

6.  Continuously review processes to ensure they are lean and efficient, both for the employees and for the payroll team.

7.  Work collaboratively with other teams, specifically with the HR Shared Services Team.

8.  Respond and deal with queries in a timely and professional manner.

9.  Ensuring compliance with regulatory and legislative guidelines.

Customer Relations

1.  Deliver a quality and professional service to all customers.

2.  Respond and resolve where possible routine customer service enquiries, issues and complaints; escalating as appropriate to the Payroll Manager.

3.  To establish a positive rapport with colleagues and customers and to ensure information is communicated clearly and appropriately.

Corporate Management:

1.  Ensure the implementation and adherence to Financial policies and procedures in accordance with Audit policies and procedures.

2.  Ensure implementation of and compliance with Group’s policies, procedures, codes of practice and initiatives relating to equal opportunities, customer care and health and safety.

General administration
1.  To treat all information as strictly confidential and only discuss matters with the relevant persons.
2.  Ensure that all overpayment letters, regulatory claim forms are dealt with in a timely manner and filed accordingly.
3.  To promote a clear desk policy within the department, maintain accurate filing systems and storage in line with Data Protection and make recommendations where improvements could be made to promote robust procedures.
4.  To have a proactive approach and be actively involved and engaged in corporate projects e.g. Paperlite and automated expenses.
5.  To carry out any other duties consistent with the grade of the post.
