JOB DESCRIPTION

Role: Playgroup Manager/Deputy Manager

Responsible to: Community Centre Manager & Parkside Community Association Management Committee

Key Objectives

  • The effective daily supervision of the Playgroup in conjunction with the Centre Manager in accordance with the Parkside Community Association, the Children Act 2004, other relevant legislation and all local authority and OFSTED Requirements.
  • Operational – full responsibility for the day-to-day management of the Playgroup and ensuring best practice by the staff team.
  • Is responsible for the profitability of the Playgroup and in particular the optimisation of occupancy in the Playgroup, liaising with the Centre Manager
  • To take responsibility for the safety, security, education and well being of all
  • children with in the Playgroup in conjunction with the Supervisors.
  • To ensure that each member of the Playgroup team is clear about their role and responsibilities and to provide training, coaching and support as required.
  • To ensure that all Playgroup Policies and Procedures are maintained in the Playgroup at all times.
  • To participate openly in the Playgroup and promote a positive team spirit.
  • To establish, develop and maintain professional working relationships with all relevant authorities including local Authority, Ofsted, and DFES.
  • To develop relationships with and utilise the EYCIT, PSLA and other local contacts e.g. Head teachers in local primary schools to ensure a smooth transition and also maintaining transitions records.
  • Ensure all weekly and monthly accounts are completed and kept securely.
  • Provide effective liaison with parents on a day-to-day basis regarding the care and education of the children in the Playgroup.
  • Ensure that each staff member observe, assess and plans for each child’s progress and report on achievements, looking for progression and continuity.
  • Agree budgets and monitorexpenditure with the Centre Manager.

Responsibilities

  • To help to observe, assess the planning and monitoring, encompassing a wide range of activities, suitable for the age range of the children, following the guideline for the implementation of Early Years Foundation Stage.
  • Be responsible, for ensuring that the Playgroup has an attractive environment that fosters a play with purpose.
  • Ensure that all required standards, ratios and conditions of registration are

maintained at all times within the Playgroup.

  • Ensure preparation of the Playgroup for OFSTED inspections and action any

recommendations made by the inspector; also the manager has to complete the SEF including all comments from other members of staff. Giving support to staff where necessary.

  • Attend meetings, prepare reports and any other duties as required.

  • To ensure that you attend regular training and keep your professional knowledge up to a high standard.

Administrative

  • The Manager has to monitor and control all costs within the Playgroup liaising with the Centre Manager.
  • To oversee the register of children and staff during the sessions, recording times of entry and exit. To monitor that this is happening and to contact parents/carers if the child has been away from the setting with no explanation provided.
  • Monitor and maintain waiting lists.
  • Maintain a database of fees, register, and any collection and management of aged debt as required.
  • Effective record keeping relating to all children’s documentation held at the Playgroup.
  • To establish appropriate emergency procedures and carry them out at least once every half term.
  • Prepare Newsletters on a termly basis.
  • To prepare the fees book.
  • To complete the termly educational funding/grant records, by assisting parents/carers to complete the agreement explaining to them, how to claim, recording sensitive dataand about data protection. To complete the proformas for the each of the agegroups, copy and send to Lynton House (recorded delivery only) or send by email. Each record hasbeen to be kept for 3 years.
  • To attend the Manager’s meetings a term held by EYCIT.
  • To attend locality cluster meetings, to ensure a smooth transition and build up links.
  • To implement, assist and monitor the focus planning sheets.
  • The Manager has to oversee the completionof the accident book, bumped head forms, incident book, nappychanging, observations and next steps planning. If accidents happenregularly the Manager has to complete a risk assessment to ensure the area is safeto use.
  • To complete paperwork from EYCIT, with regards to monitoring and ensure that allthe forms are returned before the due date. The Playgroup must also keep a copy ofthe paperwork for up to 3 years.

Health and safety

  • Ensure that the highest standards of safety, security, hygiene cleanliness andtidiness are operated at all times within the Playgroup.
  • To oversee the completion of the daily risk assessment.To check the staffmembers risk assessments for their planned activities.
  • To ensure all areas of the Playgroup are appropriately staffed at all times. To usebank staff where necessary and ensure that they are aware of their roles andresponsibilities.
  • To ensure the staff have completed a Health Declaration Form.
  • To complete a termly audit of policy and procedures to ensure that the setting is upto date and to ensure that all the staff has received updated training and havecompleted questionnaires to ensure that they have understood the information. Themanager has to monitor the Playgroup to ensure this has been implemented and givessupport to staff and students as necessary.
  • To complete CRB/DBS checks.
  • To ensure all records are up to date.
  • To liaisewith the Centre Manager that all security and safety systems are always fully operational and usedproperly by all staff. Ensuring that visitors sign in when they arrive

Personnel

  • To assist the Centre Manager and the Management Committee in the recruitment of new staff
  • Toensure that the staff fulfil the provisions of their job descriptions.
  • To ensure that all staff members have access to training and training is provided asnecessary. You observe and monitor staff for training needs and to ensure theirprofessional development.
  • To carry out staff supervisions and appraisals once a year.
  • To ensure that all staff grievances are recorded and investigated according to the Parkside Community Association’s Procedures.
  • Assist with the organisation of and attend regular staff meeting and appropriatetraining sessions, which ensure staff, are kept up to date on procedures and OFSTED requirements.
  • Participate in staff development activities, including conducting and participating inappraisals and staff observations.
  • Mentor all new staff during the induction period.
  • Ensure all trainees within the Playgroup receive appropriate health and safety induction mentoring, coaching andtraining in accordance with their individual training needs.
  • Treat all staff, children and parents with courtesy and kindness at all times.
  • To ensure confidentiality at all times and not to put any information regarding thesetting on social media sites.
