Project Co-ordinator Job Description

Job title: Project Co-ordinator 20010/11

Employed by: South London Mission (Methodist Church)

Responsible to: Robes Project Steering Committee

Line manager: Director of the South London Mission

Hours: 37.5 per week

Rolling 2 days off per week, on a rota basis to ensure cover.

Duration: 8 months fixed term contract (October 2010 - May 2010 inclusive)

Salary: £24,000 pro rata

Holiday: 25 days pro rata (17 days) plus bank holidays

Purpose of post

To ensure that the Robes Project:

1.  Runs efficiently

2.  Is consistent in how the guests are treated

3.  Is peaceful and welcoming

Responsibilities

Before:

1.  Assist with establishing the Robes Project 2009/10

2.  Support the host churches so that they are ready to receive guests at the beginning of November

3.  Establish the referral process and liaising with key referral agencies to ensure the right guests are able to access the shelter

4.  Support the churches with recruiting, training and maintaining volunteers

5.  Maintain database of ‘floating volunteers’ to fill gaps in team leader volunteer rotas

6.  Set up and run training sessions for volunteers before each set of churches begins

7.  Implement Vetting and Barring procedures for volunteers if required

8.  Procurement - sourcing and purchasing equipment and supplies

9.  Attend any necessary training

10. Produce any materials (such as flyers, rotas, newsletter) required to support the project

11. Assist the Steering Committee with funding applications as necessary

12. Establish monitoring processes to ensure Robes is meeting its objectives

During the Winter Night Shelter:

13. Operate the referral system: being main point of contact with referral agencies, deciding on guests’ suitability for the project and ensuring guests reach the shelter and understand how it works.

14. Enable each church in turn to be open, appropriately briefed, staffed and ready to receive guests according to the referral process

15. Daily monitoring of log and attendance sheets to ensure the project is running smoothly and communication is clear between the coordinator and team leaders

16. Ongoing provision of equipment to church venues in liaison with team leaders

17. Collate information relating to guests and produce monthly reports for the Steering Committee and to support fundraising

18. Liaise closely with the Advice Worker to support guests moving into permanent accommodation.

19. Attend monthly steering committee meetings and in addition to updating the committee on the project, specifically bring any areas of concern to the meeting (e.g. health and safety etc)

20. Coordinate cover for volunteer shifts when gaps arise

21. Receive and process donations and liaise with treasurer and team leaders on reimbursement of volunteer expenses

22. Be the main contact person for the Robes Project, dealing with all enquiries

After:

23. Assist with the wind-down of the project, ensuring that all processes, procedures, policies, and information are available for the following year particularly with a view to evaluation and future fundraising.

24. Write report for the Trustees (which forms the basis for the Annual Report) and any necessary funding reports

25. Get feedback from volunteers and guests as appropriate

26. Other activities for the future of the Robes Project as arranged by line management

Person Specification for Project Co-ordinator

The successful candidate will have:

Essential criteria

·  Experience in the field of homelessness

·  Good written and oral communication skills

·  Interpersonal skills, including:

o  An ability to listen guests

o  An ability to listen, encourage and motivate church co-ordinators and volunteers

·  Ability to present and speak to large gatherings of people (such as meetings and church congregations)

·  Ability to take initiative and work unsupervised at times

·  Ability to be punctual and reliable

·  Knowledge and understanding of the Christian faith

·  Excellent administrative skills including good organisational skills and the ability to undertake basic bookkeeping

·  Computer literacy

Desirable criteria

·  Experience of working in the voluntary sector

·  MIDAS trained to be able to drive a mini-bus or, full standard driving licence and be willing to undertake training to drive a minibus (MIDAS training)

·  Previous experience of working / volunteering for a winter night shelter

·  Able to train volunteers on issues affecting homeless / vulnerable people e.g. drug and alcohol abuse, mental health, violence and anger,
