This planning calendar is to help you prepare for a great year as Club President 2018-2019.
March 18, 2017: Attend District Assembly – Done
March 2017:
Register for Rotary Club Central at
Confirm that your personal information is correct.
Review your club’s goals and achievement so far.
Review your club’s membership trends.
Be sure to click on all three tabs: Club, Service and Foundation as these areas are used by RI to monitor your goals and your club’s progress toward the Presidential Citation.
Open the Reports area in the column to the left. This area provides you with several reports about your club’s history. There is key information as to contributions from your club members

Register for Rotary Leadership Institute.
April 2017:
Attend meetings of other Rotary Clubs. If your club is small, you might want to experience a larger club. If your club is large, you might want to experience a smaller club. Plan to visit several clubs.
Begin to attend as many club committee meetings as you are able.
May 2017:
Begin a calendar of events for 2018-2019. Be sure to include District events as they will be posted on the District 5340 calendar. Be sure that your club events do not conflict with District events and holidays.
June 2017:
Meet with your incoming Club President
Offer to help with the coming year
Offer to help with the Presidential Citation
Brainstorm about creative ideas for 2018-2019
Consider advisors, such as Past Presidents of the club
Review a copy of your Club bylaws
July 2017:
Coordinate with your Club President to be certain the Nominating Committee is in place to elect the officers for 2018-2019.
Ensure the annual meeting date, as prescribed in your club bylaws, is on the meeting calendar for December when you will elect the 2018-2019 Board.

COMMITTEE CHAIRS
Prepare your Club’s organizational chart and start to fill in your Board
August 2017:
Begin a Calendar of events for 2018-2019
Ensure District events are on the calendar
Plan to bring in a member during your President-Elect year
Attend District Membership Seminar
Personally meet each new member of your club
September 2017:
Meet with your District Treasurer to begin the budget process.
Register for Pre-Pets which will be held in October.
October 2017:
Attend Pre-Pets with the fascinating, exhilarating, and fabulous Mel Gallegos
Offer to assist your club Foundation Chair with plans for Rotary Foundation Month (November).
Consider completing your Paul Harris Fellow if you are not a Paul Harris Fellow or consider becoming Paul Harris Society Member. Lead by example.
November 2017:
Review your Board and Committee Chairs in anticipation of club elections in December. Explain the responsibilities of each Chair and Board position so that those volunteering know what is expected.
Become familiar with the process for crediting Foundation contributions to your member’s Paul Harris accounts. Learn about Foundation Recognition Points.
December 2017:
Hold your annual meeting to elect your new Board. Yay…you have help!
Remind your Board members to sign up for District Assembly 2018
Review a list of past club projects from committees and begin to make a list of club projects for the coming year.
Register for the Rotary International Convention, Toronto, Canada before the deadline for the cheapest price.

January 2018:
Happy New Year! Six months to go
Become familiar with the semi-annual reporting process for dues paid to Rotary International and District 5340. $$$ Dues to RI must be paid on time!
Decide exactly what you want each committee member to do. Be specific
Attend other Rotary Club meetings.
Go to Rotary Club Central and begin entering goals for 2018-2019
Participate in International Assembly January 14-19. See Rotary District 5340 website for details.
February 2018:
Meet with your Treasurer to begin preparing the club budget for 2018-2019
Attend PETS: February 9-11 2018
March 2018:
Finalize your team if you have not already done so.
Meet with the 2018-2019 Board to report on what you learned at PETS and make preliminary club goals and committee plans.
Consider planning a club assembly in April planning for 2018-2019
Ensure that 2018-2019 Board members and committee chairs are registered for District Assembly
April 2018:
Continue meeting with your Board of Directors for planning
Promote the District Conference at Knotts Berry Farm May 3-5 2018. This is a kid friendly event for those with small children.
May 2018:
Attend District Conference May 3-5 2018
June 2018:
Meet with the 2018-2019 Board to finalize plans.
Consider changes to your meeting room which may symbolize the beginning of the Year of the Rotarian.
Plan a special speaker for the first meeting of July 2018
Attend the Rotary International Convention in Toronto, CA (June 24-27)
Plan a Club Assembly to present your plans to the club.
