JOB DESCRIPTION

Title:Floor/Day Unit Co-Ordinater

Responsible to:Floor/Day Unit Sister/Charge Nurse

Accountable to:Director of Nursing

Responsible to:Senior Sister/Charge Nurse

Job Summary:To assist with the smooth running of the department by providing receptionist, clerical and housekeeping support.

KEY RESPONSIBILITIES

1.Receptionist

1.1To act as a receptionist to the department, greeting, receiving and assisting patients, visitors and staff.

1.2To ensure prompt answering of all telephone calls ensuring that all messages are relayed to the appropriate personnel.

1.3To assist in the co-ordination of in-patient transfers, patient discharge and transfer of patients to other hospitals for investigations.

2.Clerical

2.1To collect, receive, sort, distribute and redirect mail.

2.2To file and keep tidy all patients’ notes and x-rays.

2.3To order department supplies as directed and/or maintain stock levels with due consideration to economy.

2.4To instigate Maintenance Department requests and reporting as required to the nurse co-ordinating the department.

2.5To assist and attend to patients who require completion of in-patient attendance certificates, HSA or Disability Claim Forms.

2.6To adhere to hospital practices in maintaining and updating department information accurately and promptly.

2.7To photocopy and print patient labels as required and prepare patient records prior to admission.

2.8To tidy and stock cupboards as required.

2.9To update, keep and maintain department records as requested.

2.10To arrange outpatient appointments as requested.

2.11To facilitate the inpatient arrangements for convalescence/transfer/discharge and/or travel, discussing this with the patient and staff as required.

2.12To complete patients notes audit forms and forward to the clinical auditor on a weekly basis.

3.Housekeeping

3.1To respond to requests from patients for refreshments.

3.2To contribute to the department tidiness and hygiene and to co-operate with the domestic staff.

4.Medical Records

4.1To ensure that all medical records are appropriately maintained and stored.
