REQUEST FOR PROPOSALS

FOR EDUCATION AND MARKETING SERVICES

THE CITY OF VICKSBURG is seeking to acquire services from a marketing firm to inform and educate the citizens of Vicksburg about the information included in the feasibility study from the Sports Force regarding a Sports Complex in Vicksburg. The feasibility study contains a great deal of information regarding construction and operation of a sports complex in Vicksburg. In marketing the complex, the City wants to highlight the benefits of the complex to the citizens by improving recreation, quality of life, and quality programming for the youth in the city.

In order to construct and operate a complex, it will be necessary to implement a sales tax not to exceed 2% on restaurants and hotels. The goal of the City, through the marketing firm, is to inform and educate the citizens of the City of Vicksburg about the feasibility study and the benefits to the community of a sports complex prior to the vote which will be held June 6, 2017. It is anticipated that the marketing firm will provide forums regarding the sports complex, engage on social media, communicate by mail outs, and other means of reaching the citizens of Vicksburg. This project will be from March 1, through June 6, 2017.

Responses to this RFP shall be delivered to the City Clerk’s Office, 1401 Walnut Street, Vicksburg, MS on or before 9:00 a.m. on February 10, 2017. The proposals will be opened in the Board meeting at 10:00 am on the same day in the City Hall Annex at 1415 Walnut Street, Vicksburg, MS.

Proposals should include the following:

1. Company Profile:

Name of business, contact person and contact information

Statement of ownership (corporation, LLC, sole proprietorship) and list the names of all owners

2. Qualifications:

Provide a brief description of your firm, including its founding and history, number of employees, service areas and awards or other forms of recognition; include a copy of your company’s organizational chart

3. Experience and Ability to Perform this Work

Describe the approach your firm would undertake to successfully complete the

goals described above

Provide examples of relevant work and/or similar projects - particularly in Mississippi

Provide a minimum of three (3) client references

Provide a list of personnel who would be assigned to this project along with their credentials and experience

Discuss your knowledge of the youth sports tournament industry

4. Pricing:

Provide a schedule of fees for all services with a “Not to Exceed” fee

5. Sample contract - provide a sample contract for this work

Please provide four (4) copies of the Proposal. The City of Vicksburg may interview one or more firms based on the proposals. The City of Vicksburg reserves the right to select one or more firms or reject all proposals.
