Organisation background

InTouch, the Multicultural Centre against Family Violence, is a statewide agency providing services, programs and responses to issues of family violence in CALD communities. We develop and implement culturally sensitive and holistic models for the provision of services to both victims and perpetrators of family violence. In tackling the issues of family violence we act on multiple levels – individual, relationship and community. Capacity Building Program/Unit

The Royal Commission into Family Violence found that the needs of culturally diverse communities were not being adequately met by mainstream services. The government has provided funding to inTouch to build the capacity of specialist family violence service providers and mainstream services to recognise the needs of communities from diverse cultural, linguistic and faith backgrounds and provide appropriate services. This role will provide administrative support for the newly established unit responsible for capacity building/training to be delivered to service providers.

POSITION SUMMARY

The Training Administrator is responsible for providing administrative and logistical support for the inTouch capacity building/training program and events. As a new and growing program this role will be responsible for working to establish and maintain systems and processes to ensure efficient delivery and evaluation of training and capacity building activities.

InternalPrimary: Capacity Building Project Coordinator, Executive Manager: Capacity Building & Projects, Trainers.

The incumbent is expected to develop and maintain respectful and effective working relationships will all inTouch staff.

ExternalService Providers

POSITION ACCOUNTABILITIES

- Design and maintain / update individual training event promotional material/collateral and a training calendar, hard copy and online, working closely with Training unit;

- Respond to enquiries ensuring the provision of accurate and up-to date information, referring where necessary;

- Take responsibility for all arrangements for confirmed training sessions: set up registration facility, venue booking, catering, schedule trainers, prepare materials;

- Collate all resources and information as required by trainers/facilitators for each training session;

- Liaise with finance to ensure payment of invoices;

- Support training unit with collation of data and preparation of reports

KEY SELECTION CRITERIA
  • A suitable qualification plus 3+ years’ experience in a relevant role;
  • Advanced MS office skills including Word, Power-Point, Excel and Outlook; technical competence – use of laptops, AV systems photocopiers etc.
  • Skills in data collation and establishing/maintaining efficient administrative systems
  • High level interpersonal skills: verbal, telephone and writing including the ability to liaise effectively with colleagues and stakeholders from a wide range of backgrounds;
  • Superior organisational skills, high level of initiative, sound time management and appropriate prioritisation, ability to work independently and with minimal supervision;
  • Personal attributes helpful in a new and varied support role, including flexibility, diplomacy and a level of maturity; a positive outlook and sense of humour; and a can-do attitude.
  • Willing and able to engage effectively in a culturally diverse work place, respectful of difference.

CONDITIONS OF EMPLOYMENT
  • The salary for this position is based on the inTouch Employee Union Collective Agreement and is negotiable depending on experience;
  • The position will attract five (5) weeks annual leave per annum, pro rata;
  • Salary packaging may be provided subject to the terms of and conditions of the inTouch Salary Packaging Policy;
  • Superannuation Scheme is available through HESTA and the provisions of the Superannuation Guarantee (Administration) Act 1992 will apply;
  • The successful applicant will be required to undergo satisfactory pre-employment checks, including 2 referees, a national and/or international criminal records check, working with children check, proof of identify and qualifications. One referee must be from the most recent direct supervisor;
  • Signing a Confidentially Agreement is a personnel requirement of inTouch;
  • The successful applicant will initially be engaged for a probationary period of six months. During this period, either party can terminate employment with one week’s notice;
  • The successful applicant will be required to disclose any pre-existing illness or injury that they know about which could be reasonably foreseen to be affected by the work duties described. Pursuant to s.82 (7) of the Accident Compensation Act, failure to disclose such a condition will mean that if employed, they will not be paid compensation for that condition;
  • Some travel within Victoria may be required from time to time. A current Victorian Driver’s License is essential;
  • Must be physically capable to carry out administrative duties, involving extended periods of video display unit use;
  • Must be able to work outside of normal working hours from time-to-time to attend functions as required;
  • inTouch has a smoke-free workplace policy;
