Registrar Monthly Procedure

June

·  For own records only, on the first school day of the month, run necessary reports (P223, Bilingual Report, Course Count Report, Entity totals, class lists, Student cross reference).

·  On the first day of the month, run attendance report, Monthly/Quarterly report to see if there are any students with excessive absences or tardies. Print letters and have principal sign. Keep a copy for cumm. file and mail letter home.

·  Attend Registrars meeting (if have one)

·  Contact other schools about returning overflow students.

·  Run perfect attendance report, check with teachers for accuracy and make certificate for last day of school.

·  Follow end of year responsibilities packet. Get check list to Nick.

·  Enter new students that have enrolled for new school year.

·  Step-up day:

o  Make copy of new class list for teachers

o  Make copy of where current teachers’ students will be going (what class)

o  Make postcards for new students entering MLE in the fall for Step-Up day.

·  Add new teachers to WESPAC

Office, Future Scheduling, Course Master

·  After you know what teachers and what classroom, make classes for next year.

o  Add to WESPAC

§  Office, Future Scheduling, Course Master

·  Go by grade

·  Delete all extra classes

·  In 3rd section, highlight teacher, edit

·  Change teacher and classroom

·  After class placements have been made:

o  Office, Future Scheduling, By Class

o  Add each student to the new class (all done by individual.)

·  After place students in classrooms, send list of all kinders to Dolly in Transportation

o  Office/Future Sched./Reports/Class Roster Report

§  List all three classes (Full, Red, Blue)

·  Items to print – parent name, phone #, address

·  Send List of all kinders coming from ECAP to Betty Bisig (email)

·  Shred this year’s waivers and replace with next year’s in binder.

·  Ask for new student files from previous schools (include in-district transfers.)

·  Put “end date” for Title/LAP students (get list from Billy Jo.)

Student, WA/NCLB, Student Programs, edit

·  Send excessive tardies/absences to SMS for incoming 6th graders (Kathy Helmold)

·  After School is out:

o  Transfer students coming from other schools to MLE

§  Make sure any students from in-district are inactivated at that school before adding to MLE

§  Add to “new Students” list in enrollment book.

o  Withdraw students going to other buildings for leaving MLE

§  Run individual attendance sheet for cumm. file.

§  Add to “Withdrawn Students” in enrollment book.

o  Retain any students.
