Admin and Finance Officer
JOB DESCRIPTION
Job Title: Finance and Administrative workerStarting Salary: £25,752 per year
Hours: 35 hours per week
Annual Leave: 28 days per annum
Duration of Contract: 10 Months initially, renewable subject to funding
Responsible To: IKWRO’s Director of Operations
PURPOSE OF THE POST:
To enable the smooth and efficient running of IKWRO’s office by providing administrative support, having responsibility for administration, human resources, and bookkeeping services. The key aspects of this post are; administrative work andsupport, financial support, writing reports, and helping withhuman resource management.
MAIN DUTIES AND RESPONSIBILITIES
- To provide overall reception and administrative duties, including dealing with all incoming telephone calls, responding to basic enquiries and referring others to the appropriate person within IKWRO’s team of staffor appropriate organisation.
- To deal with incoming/outgoing mail and invoices.
- To provide support to Executive Director, Director of Operations, othermanagerial team and other staff, as needed.
- To oversee, control and manage office equipment, facilities, and furniture,ordering of stationery, control supplies, maintain existing supplies in an orderly manner and liaise with suppliers.
- To develop and update IKWRO’s mailing list, and assist with conferences.
- To attend Management Committee, staff and other meetings as necessary andtake minutes.
- To develop and be responsible for the maintenance of effective manual and computer based filling systems in the office.
- To maintain the records of staff attendance, leave and sickness including organising employee annual leave,timesheets, and vacation requests.
- To assist with human resources including the recruitment of new applicants and volunteers.
- To process IKWRO’s membership applications and volunteer database, maintain and regularly update list.
- To carry out filing and typing for the Executive Director, Director of Operations and other management staff, including reports, funding applications and other documents as required.
- To assist and take responsibility for providing administrative support for initiatives such as the AGM, conferences, training events and workshops organised by IKWRO.
- To be responsible for the payment to staff, volunteers, and beneficiaries in cooperation with Finance Officer and to liaise with pay roll provider when necessary , to maintain a good relationship with our service providers.
- To provide monitoring and evaluation of the services providing by IKWRO, including distributing surveys and recording data accordingly.

Essential / DesirableQualifications
1 / Fluency in English and Farsi both speaking and writing. / ⱱ

3 / Recognised accounting qualification (or part qualification) and evidence of personal development in employment / ⱱ
Knowledge
1 / Clear understanding of confidentiality in written material / ⱱ

3 / Working knowledge of minimum one accounting package / ⱱ
4 / Excellent knowledge of Microsoft Word, especially Excel. / ⱱ
Experience

3 / At least two years’ experience of administration and finance work. / ⱱ
4 / Experience of working in a charity accounts environment / ⱱ

7 / Experience of administration (either as volunteer or in a paid capacity) within a voluntary organisation in the UK / ⱱ
