Reeds Cove Yearly HOA Board Meeting

Meeting called to order at 7:00 pm. Board members in attendance were: Neil Hague, Monica Palyash, Brenda Goertzen, Cristy Philips, Donrita Cottrell, and Mike Eilert. Also in attendance was Dale Green with the landscape committee.

Welcome:

Neil Hague welcomed guests and gave opening comments of what the HOA board does.

o  Review and issue contracts to various maintenance companies that we use at Reeds Cove (i.e. Tree Top landscaping, Pool Service cleaning, etc.)

o  The HOA president and the board represent the Architectural Review Committee for new construction, additions, or renovations.

o  The landscaping committee takes cares of landscape issues as necessary throughout the commons space.

o  The HOA is responsible for covenant reinforcement for miscellaneous items that come up throughout the year (i.e. vandalism, trash cans, complaints, etc).

o  There will be 4 open board positions for the next year. Board members receive compensation of reduced HOA dues.

o  Negotiate discounts with various companies for homeowners.

Highlights from the last year:

·  The pool pumps were replaced due to the cotton from adjacent cottonwood trees and the heat.

·  Installed LED parking lot lighting at the pool house parking lot.

·  Tree pruning and dead tree removal was completed throughout the commons areas as necessary.

·  Pond algae removal and treatment was preformed throughout the summer.

·  Several poison ivy treatments along large pond were completed.

·  The common area landscape beds and tree rings were mulched.

·  The patio furniture at the clubhouse was refinished.

·  A new HOA email distribution list for the community was developed and is now in use.

Upcoming projects for the next year:

·  Dredging of the upper drainage pond. The pond is silted in to a level where it can not maintain a healthy environment which in turn encourages algae growth.

·  127th landscaping restoration due to the 127th expansion.

·  Capitol expense projects include:

o  Painting the clubhouse.

o  New carpet for the clubhouse.

o  Due to vandalism and age the gazebo will need more repairs and painting.

o  A pergola over a portion of the pool deck may be considered to help provide shade.

o  Sidewalk extension to 21st St. is being considered but existing utilities make this difficult.

o  Gutter covers for the clubhouse.

Financial Update:

·  The cash position for the end of the year is positive ($30,000 in savings and a 6 month reserve of $60,000 for operations).

·  While a few residents have past dues many of the larger debts have been collected over the year. The board will continue to push for payments from the remaining residents.

·  There is no HOA debt.

Elections:

·  There are 4 open 2-year terms for the HOA board.

·  Prior to the meeting no nominations were received.

·  Tim Henry has moved and will not serve on the board as Treasurer next year, all other board members have volunteered to serve in various roles or continue in their current position.

·  A nomination was received by Stuart Terrill to serve on the board.

Open Discussion:

·  There have been many instances of partying in the club house parking lot, primarily on weekends. Some possible remedies were discussed and will continue to be discussed and researched over the next months.

The meeting adjourned at 8:40.
