Dear Parent / Carer

Please read the following information to ensure the smooth running of the Dance Umbrella 2018.

Ticket Sales

All events held at The Forum are required to sell tickets through Ticketline. To ensure all schools have fair access to tickets, there will be a pre-sale period for schools only. This will allow schools to book a maximum of 35 tickets per dance (non-returnable and non-refundable). Remaining tickets will then go on sale to the general publicon Thursday 1st February 2018 and will be available from or Tel: 0844 8889991(max 2 tickets per booking). Calls cost 7p/minute plus your phone company’s access charge.

Tickets will be priced at:

Tuesday 13th March KS1 Performance - £5.00 (no concessions)

Wednesday 14th Performance (KS2) - £7.50 adults £5.00 concessions

There is a delivery charge of £2.25 postage per order or £1.75 E ticket charge per order.

If your child is taking part in the KS1 dance with Mrs Jewell, your child’s performance will be held on Tuesday 13th March. If your child is taking part in the KS2 dance with Mrs Griffin, your child’s performance will take place on Wednesday 14th March.

Mrs Griffin has purchasedone ticket per pupil for each dance.Please pay the office the amount required for the ticket needed by the end of January.

Performance Times

The show will start at 5:30pm on Tuesday 13th (KS1 performance) and 6:30pmon Wednesday 14th (KS2 performance). Performances are anticipated to finish at approximately 6:45pm on Tuesday13th and 8:30pm on Wednesday 14th.

Please Note:Unfortunately, at present there is no Box Office facility so tickets cannot be purchased in person from The Forum. All tickets will be reserved seats in the auditorium.

Rehearsal Times

Schools will be allocated a 10 minute rehearsal time. These times will be sent to schools at the end of January. This information will be sent to parents once it has been recieved.

Accompanying Staff & Supervision of Pupils

Only staff & named helpers will have access to the Stage Door and restricted areas in The Forum for both the rehearsal and performance.

Photography

A professional photographer will be based in the Ballroom during the rehearsals and group photographs can be taken. During the performance photographs can be taken by parents as long as they remain in their seats and that the photos are not published on a public platform.

Entering the Forum

The only access for schools both during the day and evening will be via the Stage Door on St. James Parade. SSP staff will supervise these doors at all times, but please ensure parents collecting/dropping off children are aware that they will not be allowed access through this door under any circumstances.

If parents are meeting you after your rehearsal time they will be asked to wait outside of the Stage Door.

Programmes/Running Order

This will be available to schools on the day and not in advance as it is subject to late changes.

Changing Rooms/Costumes

We use every space made available to us by The Forum, however, changing areas are limited. Therefore please come as prepared as possible and ensure all costumes are ‘age appropriate’.

First Aid

We will be bringing our own first aid kit to the forum. As a qualified first aider, Mrs Griffin will be present should first aid assistance be required.

Interval Collection (KS2 Dance only)

This year, we are encouraging all schools to stay for the duration of the performance to ensure the special atmosphere remains until the final dance. However, you may choose if they are young children for their parents to collect them during the interval. If this is the case this must be arranged with Mrs Griffin in advance of the performance. Parents that have been watching the performance will be able to collect their child from the front of the auditorium. Parents who have not been watching the performance will have to wait outside the main foyer entrance and school staff will be responsible for handing their pupils over to the parents.

Collection of Pupils at the End of the Performance

As in previous years, this will happen at the front of the Auditorium. School signs will be available and the compere will help with this process by making announcements. Parents will be asked to remain in their seats until they can see their child. If parents have not been watching the performance, Forum staff will ask them to wait outside the building until the general audience have left. They will then be allowed access to the foyer/auditorium.
