1Introduction

This procedure will enable the smooth flow of drawings between Transmission Engineering & Projects and the contractor.

2Supporting Clauses

2.1Scope

This document is applicable to all Transmission Engineering & Projects PTMC drawings completed by a contractor.

2.1.1Purpose

To establish the responsibilities and requirements, for obtaining the approval and registration of drawings submitted by a contractor.

2.1.2Applicability

This document will apply throughout the Transmission Engineering & Projects PTMC area, where and when drawings are been completed by a contractor wherein Transmission has a controlling interest.

2.3Definitions

·  Drawing

A MicroStation electronic CAD drawing with a DGN extension of vector format.

An Iras electronic CAD drawing with a TIF extension of raster format.

·  Paper Print

A clear, legible reproduction of a CAD plot on PPC 80 g bond 841 x 150.

·  Microfilm

An original drawing reproduced on a 35-mm silverhalide negative and mounted in an aperture card.

2.5Roles and Responsibilities

The Drawing Manager is responsible for the quality and micronorm standards of drawings in accordance with the drawing office standards procedure.

The Applications Manager / Applications Engineer/Technologist authorising a drawing will be responsible for the technical content of the drawing.

The Contractor is responsible for completing the drawing within the required time frame of the scope of works and in accordance with the drawing office standards.

3Document Content

3.1Generated Scope of Works (SOW)

The scope of works will be generated by the planner, all relevant information will be on this document. See Appendix A.

This document will also indicate the amount and size of prints required for when the project is completed.

The planner must give detailed and accurate information, all ENC and other relevant data to be attached.

For all new station specific drawings created a Transmission Engineering & Projects PTMC representative will obtain drawing numbers from Technical Information & Documentation (MWP), as set out in the drawing registration and approval procedure.

3.2Scope of Works submitted

The document will be submitted by the planner to the contractor for collection assigned to do the task and the drawing office via electronic mail, timeously. A copy of these documents will be retained in a file by the planner.

The scope of works received by the drawing office will commence within 48 hours.

3.3Drawings identified

The listed drawings on the scope of works will be identified by the drawing office in conjunction with the planner and/or contractor.

Any further drawings required by either party will be identified by the planner and/or contractor.

3.4Drawings submitted

Only drawings indicated on the scope of works will be handed to the contractor, if any further drawings are required the scope of works must be updated by the planner.

The identified electronic drawings will be copied to a disk or flash drive, which will be handed to the contractor.

The identified electronic drawings which are raster (tif) files will be printed if needed.

The drawing office will contact the contractor for collection of the drawings / files / prints.

The contractor & planner will acknowledge receipt of the drawings on the disk or flash drive or prints.

A request to the planner for extra drawings required will be copied on to a disk or flash drive or via email or printed by the drawing office.

3.5Pre-Approval of A3 paper prints

All drawings must be prepared in accordance with the drawing office standards procedure. Once completed with the task, an A3 size drawing (or a conveniently acceptable size) will be returned to the planner by the contractor for acceptance prior to application drawing approval. The contractor to notify the planner and must submit a completed list of the submitted drawings.

- a covering letter detailing drawing number, sheet number and revision

3.6Drawings Checked

The drawings will be checked by the planner with the contractor present in a Transmission office.

No application planner’s name will be in the project approved block, only the contractor’s name (drawn by and project checked) will be on the drawing in the title block.

The planner will formally approve the technical content of each drawing, where the content of the drawing does not meet Transmission’s requirement the planner will withhold the formal approval and indicate the changes required to the contractor.

3.7Drawing Corrections

All identified corrections, will be corrected by the contractor.

3.8Final drawing Approval

When the drawings are completed with the corrections, the application planner’s name will be added to the project approved block in the title block.

A workstation will be made available for the contractor to print A1 size drawings, the contractor will make an appointment with the drawing office and the planner for the usage of the workstation and the signing of the drawings.

The drawings will now be checked with the mark-ups in conjunction with the planner and contractor.

These drawings will now be signed by a Professional Engineer/Technologist or Certified Engineer.

A list of the completed authorised drawings must be submitted to the planner.

3.9Further Corrections

If there are further corrections found, which need to corrected on the drawing, the contractor will be notified.

The contractor will again follow paragraph 3.8, for printing, signing and completion of the drawings.

3.10Drawing Signature

The drawings must have a signed approved signature by the authorised person being a Professional Engineer/Technologist or Certified Engineer done in accordance with the drawing registration and approval procedure.

The planner and/or contractor will forward the original signed A1 print with the electronic file with a list of all drawings submitted to the drawing office for registration as set out in the drawing registration and approval procedure.

Prints of these drawings can now be submitted by the contractor printed off Transmission premises.

3.11Drawings on DIRECTA and Issued

The drawings will be created / revised on Directa and then signed off and issued.

3.12Scope of works complete

Once the drawings are signed off in Directa then the planner will notify the Contractor of the completion of the above task. The Contractor will delete all relevant information pertaining to the project.

4Drawing Revisions

Revisions to previously approved drawings will be dealt with in the same manner. Only the revision number and not the drawing number will change.

The Contractor will add the revision note as set by the drawing office standards procedure, then the drawing will follow this same process from paragraph 3.5.

5Drawing raster files

Paragraph 3 to be followed in the case of the contractor required to only do application work on raster (tif) drawings. The relevant size of prints will be provided to the contractor who will mark-up the drawing and submit to the drawing office with a drawing submission form.

6Electronic Medium

The drawing office will make the initial set of electronic drawings available for revision to the Contractor.

For further required drawings the use of email may be used.

On completion the electronic files will be returned to the drawing office manager.

It is the responsibility of the contractor to ensure that the flash drive is virus free at all times.
