Job Title: HR Recruitment Services Assistant

Salary: £17,210 - £20,400 per annum, depending on skills & experience. Salary progression beyond this scale is subject to performance

Reporting to: Recruitment Services Team Leader

The Purpose of the Role:

To provide a customer focused professional and proactive end-to-end recruitment service for the University that ensures all resourcing needs are met in a timely manner and in accordance with University policies, procedures and recruitment legislation. To support recruitment campaigns effectively and promote a positive candidate experience that is aligned to the University’s aim to attract, develop and retain the best talent.

Main Responsibilities / % time per year

As part of the HR Recruitment Services Team, provide consistent advice, guidance and administrative support for all recruitment activity across the University:

·  Provide a professional end to end recruitment administrative support service for roles at all levels and covering multiple disciplines

·  Support managers in developing role profiles, person specifications, advert content and selection tools that are aligned to role criteria and competencies

·  Liaise with stakeholders to ensure all recruitment is consistent with University policy and procedures and meets legal requirements

·  Offer guidance and support to hiring managers for the most cost effective methods of attraction to source vacancies in a timely manner; including redeployment, direct attraction strategies, the use of social media and the appropriate engagement of recruitment partners

·  Monitor the success of media sources through accurate recording on the Vacancy Manager system and the preparation of monthly reports

·  Manage all recruitment activity through the correct application of the Vacancy Manager system, including maintaining up to date vacancy status and candidate correspondence in accordance with agreed SLA’s

·  Maintain recruitment records / data and prepare regular reports to ensure all recruitment activity is managed and monitored effectively

·  Take ownership of vacancy administration and provide up to date information consistently within the recruitment life cycle as required

·  Prepare contracts of employment using approved templates aligned to job families and benchmarked role profiles
·  Provide an excellent candidate experience from engagement through to on-boarding as a new employee
·  Ensure that all new starter checks are completed in a timely manner and are compliant with recruitment legislation

·  Ensure staff personnel files and employee data recorded in all HR systems is accurate, up to date and held in accordance with Data Protection principles

·  Cascade information to the Team Leader regularly, identifying any resourcing challenges and providing suggested solutions as and when they occur

·  Provide timely and consistent policy and process advice to managers, ensuring ownership and responsibilities remain in the appropriate places

·  Support the maintenance of the intranet and vacancy manager systems to ensure managers and staff have access to current and compliant documents and guidance at all times
Self:

·  Contribute to regular team meetings, 1-1's and performance reviews, ensuring that own skills are aligned to team, department and University goals

·  Provide support and cover for other HR team members during demanding workloads and absence, as part of own personal development

·  Improve own professional skills through CPD and proactively develop knowledge and best practice through practical experience and related project work where applicable

·  Prioritise own work load and audit own performance and quality against targets and policy requirements, taking ownership to implement appropriate corrective action when required

Knowledge, Skills, Qualifications & Experience

Essential / Desirable
Qualifications/ Education / ·  GCSE (or equivalent) English & Maths at grade C or above / ·  Studying for CIPD or equivalent
·  Level A occupational test qualification
Skills/Training / ·  Excellent customer service skills applied in a HR environment
·  High level of attention to detail and accuracy
·  Strong verbal comprehension skills
·  Numerate
·  Meticulously well organised with the ability to manage multiple customer requirements simultaneously
·  Good IT skills including Microsoft packages and HR Business systems
·  Self-motivated, demonstrated through drive to meet challenging business targets and progress own professional development
·  A good team player
·  Able to use initiative and demonstrate good problem solving skills / ·  Possesses good persuading and influencing skills
Experience / ·  Previously worked in HR Administration or Recruitment Services
·  Evidence of managing multiple, conflicting priorities and delivering against SLA’s
·  Competent in the use of HR systems
·  Experience of using information aligned to organisational policy and procedures / ·  In-house recruitment & selection experience
·  Knowledge of direct attraction strategies
·  Use of social media for attraction of candidates
·  Experience of working with e-recruitment management systems
·  Candidate management experience
·  Understanding of assessment processes
·  Previous use of aptitude and psychometric assessments
·  Experience of engaging positively in a changing work environment
Statutory/ Legal / ·  Aware of the legal environment that HR operates within
·  A good knowledge of Recruitment legislation / ·  Good practical working knowledge of employment legislation through the application of up to date policy and process
Decision Making

i) taken independently by the role holder;
