Pro rata £7,398 - £8,386 per annum

We are a small secondary special school for pupils with Statements of Special Educational Needs and AutismSpectrum Conditions located in Borough Green Village, near Wrotham.

We are looking to appoint aflexible, organised andenthusiasticReceptionist / Clerical Assistant, with excellent interpersonal and communication skills, to join our friendly school.

Hours will be 22.5 per weekfrom 8.00am –4.00pm, 3 days a week,40 weeks a year. Actual salary based on qualifications, skills and previous experience.

The position will involve working closely with pupils, parents, and members of the community and the successful candidate will be the first point of contact for both callers and visitors into the school.

Various clerical tasks will also form part of this role, including typing, filing, record keeping and photocopying.

Previous experience of SIMS.net knowledge would be desirable however full training will be provided. Experience of general office and other computer programs (Word, Excel, PowerPoint etc) is essential.

JOB DESCRIPTION

Job Title:RECEPTIONIST / CLERICAL ASSISTANT

Hours:22.5 hours per week, 200 days per year, term-time + 5 INSET days + 5 additional days. Details of working week to be agreed with the Administrative Assistant / School Business Manager

Pay Scale:Grade Kent Scheme 3 - currently £14,100 - £15,984(full time)

Location:Grange Park School, Borough Green Road, Wrotham, Kent, TN15 7RD

Reports to:The Administrative Assistant in the first instance and then the Bursar, and/or the Headteacher or Deputy Headteacher who has overall responsibility for the school.

Responsibilities and Duties:

Provide a high level of reception and clerical service to support the school.

General duties and responsibilities for all school staff:

  1. To carry out school policy as documented and/or as directed by the Headteacher.
  1. To present the school in a positive way in the community.
  1. To respect the confidential nature of all information acquired in the performance of the job either verbally or in writing.
  1. To work in a responsible and safe manner, paying attention to all Health and Safety procedures operating within the school.

Reception and Clerical duties and responsibilities:

5.Answer telephone, screen and direct calls, take and relay messages and provide appropriate information to callers.

6.Greet visitors entering the school, direct them to their correct destination and deal with queries from the pupils, staff and members of the public ensuring Safeguarding procedures are observed.

7.Maintain records of staff and pupils movements in and out of the school and contact taxi firms as applicable.

8.General administrative and clerical support including preparation of letters and documents, receive and sort mail / deliveries

9Maintain appointment diary and organise appointments and meetings

10.Arrange and negotiate purchase of supplies and services for the school to ensure best value obtained.

11.To keep pupils’ files well organised.

12.To ensure the reception area is kept tidy and well presented.

13.To ensure that the school complies with the requirements of the Data Protection Act.

14.To participate in training courses as appropriate to the post.

This job description describes the way the post-holder is required to complete and perform the duties set out above. These duties may be varied from time to time to meet the changing demands of the school at the discretion of the Headteacher and following consultation with the post-holder.
