Background

The Deptford Lounge, developed by the London Borough of Lewisham and opened in January 2012, is the new flagship building at the centre of Deptford. Together with the Resolution Studios and Tidemill School it forms part of a complex of three buildings. The Deptford Lounge houses the public library and is intended to function as both a ‘living room in the city’ and a ‘learning centre’ for the communities of North Lewisham. Other services include a café, adult education, four resident offices, five meeting rooms and a number of flexible use spaces.

The Albany - a performing arts venue located just one minute away from the Deptford Lounge - has been appointed by Lewisham Council to provide management of this new building and to develop its community programmes and hire functions for an initial two-year period, extendable by a further three years.

Purpose of the Post

The Duty managers support the Operations Manager in the delivery of the Deptford Lounge management contract. The contract encompasses the day-to-day management of the building, its services and programme of events. The Duty Manager will manage the building on a day-to-day basis ensuring a secure, safe and presentable facility accessible to the public. Engaging with visitors to the Lounge on a daily basis, the duty manager will provide excellent customer services and ensure the efficient facilitation of space bookings, activities and events.

The suitable candidate will have previous experience duty managing a building open to the public, be service-oriented and well-versed in balancing a variety of demands.

Main Responsibilities and Duties

Day to day centre management

·  To oversee and co-ordinate the daily operation of the Deptford Lounge for the use of space bookers, its partners and the community.

·  To manage the cleaning and premises staff to ensure a clean and presentable environment and that facilities for bookings and events are set up as required.

·  To act as the first point of contact, ensuring an exemplary standard of customer care and any problems are resolved speedily.

·  Deal with and respond to any issues or complaints

·  To manage the security of the building and its users including the opening and lock-up of the building, access control, conflict management and emergency call-outs where required.

·  To deputise for the Operations Manager in their absence.

·  To ensure efficient communication and coordination between all staff and partners.

·  To deal with booking enquiries and payments

·  To promote and expand the range of use of all facilities within the centre.

·  To oversee and manage hire events as required.

·  To support the Head of Food and Beverages in monitoring and supporting the operation of the café.

·  To monitor company standards (i.e. customer service, presentation, Health & Safety) on site ensuring compliance with company rules and procedures.

·  To collect and record visitor data and customer feedback.

Facilities/ Health & Safety

·  To monitor and oversee the daily operation of the Building Management Systems (i.e. lighting, temperature control, access, security and fire systems) and to assess and report any maintenance and reactive repair issues to Lewisham Corporate Assets team.

·  To work closely with Lewisham Corporate Assets team to ensure maintenance reactive repairs, key holding, security, fire and health and safety aspects of the premises are effectively managed.

·  To carry out regular checks ensuring the centre, its fittings, equipment and other resources are well maintained, in good working order and wastage kept to a minimum.

·  To understand and comply with the Albany and the Councils’ Health and Safety Policies and to ensure that all staff, users and contractors observe the requirements of the Health and Safety at Work Act when on the premises.

·  To assess and manage risk for all activities overseen by centre management.

·  To lead on the fire evacuation procedures and act as fire controller or fire marshal as required.

·  To fulfil the role of Duty First Aider.

·  To maintain auditable records of all Health & Safety management under centre management control.

Other Duties

·  To undertake additional or other duties as may be appropriate to achieve the objectives of the post and as directed and deemed appropriate by the Management Team.

·  To provide and attend training sessions as required; support the Albany’s objective to offer work training to volunteers, trainees and apprentices.

·  To work evenings, weekends and split shifts as required by the nature of the service.

·  To be responsible for carrying out duties in line with Council policy on Equality and Diversity and be sensitive and caring to the needs of others, promoting a positive approach to a harmonious working environment.

·  To promote and safeguard the welfare of children, young and vulnerable people that come into the centre.

·  To work within the Albany’s objectives and to support its work within other contracts and/or venues.

Person Specification back to beginning

Essential

·  Experience in overseeing and being responsible for a building open to the public

·  Experience in staff supervision

·  Significant professional experience in a face-to-face customer focused environment

·  Excellent customer service skills

·  Experience in a security role or prepared to train and act as security officer

·  Excellent verbal and interpersonal and good written communication skills

·  Confident with a professional approach in building and maintaining positive working relationships and the ability to cooperate with others

·  Experience of or the ability to understand the operation of technical equipment

·  High level of IT literacy (MS Office)

·  Good administrative skills with the ability to maintain systems and records

·  Knowledge of Health & Safety law and regulations with experience of implementing and monitoring safe working practices

·  Ability to exercise initiative, take personal responsibility and resolve issues independently

·  Strong organisational, time management and prioritisation abilities working effectively under pressure and flexibility to adapt quickly to demands

·  Excellent time keeping, conscientious and reliable

·  Excellent standard of personal presentation

·  An interest in the arts, learning and leisure industry and an enthusiasm for working in a socially engaged and culturally diverse environment,

·  Flexibility in relation to duties and working hours which will include evenings and weekends
