Guidance Notes and Nomination Form

The following information has been prepared to support Plymouth University, partner institutions and proposed External Advisor nominees in providing the necessary details to assist us in determining whether a nominee can be appointed to serve on a Plymouth University Programme Approval Panel. Please note: the requirements for External Advisor nominations are different to those for External Examiners. If you are hoping that your External Advisor will also be able to act as your External Examiner you should check the criteria for that appointment at www.plymouth.ac.uk/external-examiners before completing this form.

As part of the approval process for new Awards, it is imperative that any nominated External Advisors are independent of Plymouth University or the institution/College where the proposed programme is intended to run. This is to ensure External Advisors can be impartial and provide objective advice to the Approval Panel.

Nominations will not be considered if the individual:

·  has been a member of staff at Plymouth University or at any of our partner institutions/Colleges in the last 5 years

·  has been a student at Plymouth University or at any of our partner institutions/Colleges in the last 5 years

·  has been an External Examiner at Plymouth University or any of our partner institutions/Colleges in the past 5 years (this includes reciprical arrangements where a Plymouth University member of academic staff has been an External Examiner at the nominee’s HEI)

·  has worked collaboratively with any member of staff involved in bringing forward the proposal (e.g. on research papers/publications)

·  has direct responsibility for providing placements for students from this or another related programme

·  is not independent of the proposed programme i.e. if they have participated in the planning process

2  Employment experience in Higher Education (and/or Further Education for Foundation Degree proposals)
3  External Examining experience at degree, postgraduate or Foundation Degree level
4  Experience of serving on validation panels and participation in other quality procedures e.g. QAA Auditor
5  Experience of programme management - (e.g. as a programme leader at HE level, or at FE level or as a HE Co-ordinator in a College for Foundation Degree proposals)
6  Professional body membership, where relevant
Professional/Industrial Advisers: please provide information as follows:
1  Employment experience in relation to the proposal
2  Qualifications held/professional body membership
3  Involvement in professional field at the local/regional/national level
4  Any previous experience of input to curriculum design/participation in employer advisory groups etc

Home Office Check

We would also draw to your attention that, in order to fulfil Home office requirements, we ask nominees to provide details of their nationality, and to declare whether or not they require permission to work in the UK. Once your nomination has been formally approved by the relevant senior manager you will be asked to send a scanned copy of your ID (passport (N.B. both the front cover with crest and personal details page/s) and visa, or other relevant documentation that demonstrates your ability to work lawfully in the UK, if required).

At the time of your first visit to the University or one of its partner institutions you will then be asked to bring the original of your passport (and visa, if appropriate) with you for a visual check of your identity. Failure to provide this documentation may jeopardise your attendance at the meeting and we will be unable to process your fee or expenses payment until the check is complete.

Please note that this check must be completed for all nominees, not just those who are non-UK nationals, in order to be able to demonstrate that our procedures are not discriminatory. We would ask for your understanding and apologise for any inconvenience caused.
