Proposal of an SLCC Panel

Thank you for submitting your idea to The Future United board for consideration. We hope that your participation and engagement in the 2008 SLCC will further the community involvement by asking residents to be the content directors. This will be done by allowing community members to become track leaders through a SLCC Panel RFP process. Track leaders are the people responsible for all of the aspects of a track, the subject, content, the speakers, and the funds necessary to run the track. You are free to approach sponsors and ask for sponsorship at whatever level you see fit. This year, we are accepting proposals for ½ day tracks that highlight the special nature of community within SLCC. There are specific requirements for us to consider your RFP, and they are spelled out below. We will be reviewing these forms as they come in and making suggestions to submitters to unite forces if and when we see substantial and significant overlap in content or proposed presenters. The only two tracks that the TFU will be organizing are the Education and the Business Tracks and we welcome your ideas for panels there.

4. Please draft a general schedule. Assign a rough title and a few words describing the direction of part of the track. If you can, include potential speakers you would hope to have. You will have either 9:00–12:30 or 1:30-5:00 time slot. Give us an idea of the activities / panels / discussions / breaks / keynotes will you have and when:

As part of running a track you are responsible for securing $2,250 USD in total sponsorship to cover the cost of the track.All sponsorship monies must be sent to the TFU, even money that exceed $2,250. The sponsorship covers the use of the venue space, insurance, presenter discount tickets, complimentary tickets, technical support, house sound and mics, projectors, brochure printing, banners and room set up. It does not include outside items such as sound equipment rental, room decoration, door prizes, give-aways, etc. The sponsorships obligation are nor refundable.

List the potential sponsors you feel will be a good fit. There is no limit on number of sponsor per track. If you raise more than your required $2,250, TFU will put that money to use for your track. You may ask TFU to purchase airfare for speakers, comp tickets for additional sponsors, rent specialty equipment, or support of the overall convention.

Each Track receives 3 Complimentary tickets and 9 Discount Presenter tickets that you the track leader can use at your discretion. We would hope that you will give your Complimentary tickets to your sponsors and your Discount tickets to your panelists. But hey … you are the Track leader … you are in charge.

As part of the operations of the SLCC we are excited to turn over more opportunities to the SL residents. At the same time we are the stewards of the event. In the creation of these tracks we are setting very hard and fast deadlines to ensure both the content, experience and the fiscal solvency of the SLCC. By submitting this RFP, The Future United, Inc. will be holding the person designated as track leader responsible for all aspects of their specific track. This includes providing necessary documentation (Speakers releases, Sponsorship agreements, Sponsorship checks and payments, Brochure materials including bios, photos, descriptions), specialty equipment and any additional outside services not already covered by the conference space or The Future United, Inc. As a track leader if you are not able to turn in the necessary documentation we reserve the right to cancel your Track and replace it with another Track or other material. Due to real deadlines for items such as printed brochures, if items are not submitted on time the material for your track will be handed out as an insert. While these obligations may seem strict, we are not draconian and will work with track leaders as much as possible.

Timeline for SLCC Panel Submissions are as follows:

February 1st, 2008

TFU will post a poll asking for residents input on their interest in selected topics.

February 15th, 2008

We will use your input to narrow our choices and contact the selected track leaders.

February 29th, 2008

Sponsorship letters are due to the TFU by either e-mail or by fax. These letters must be signed by the sponsors. If we do not receive your letters we will contact you or the sponsor directly to ensure that this paperwork is in process. If it is not we will select an alternate track.
