KICK OFF MEETING
Ancona, July 2nd and 3rd 2004
INFORMATION FOR THE PARTNERS
IONAS project budget foresees that travel and accommodation expenses to participate in the meetings are shared among all EU partners (Non EU partners expenses are covered by the budget of some EU partners).
Both EU and Non EU partners anticipate the cost for their accommodation and travel, and they will be afterwards refunded by the Project.
Please find attached the “Meeting Cost Plan” which shows the maximum amounts of money that each partner can manage to participate in the meeting of Ancona. The sums are different for the partners, depending on the kind of travel they have to take: national short distance, national long distance and international travel, as stated in IONAS Annex 1 to the budget.
The sums include costs for travel, accommodation (3 nights) and subsistence (2 lunches and 3 dinners).
In order to account your expenses (and thus to be refunded by the project), it is very important to keep the documents that certify the expenditures:
- original tickets of your journeys: the two boarding passes if you travel by plane, as well as the tickets of the train or the ship; tickets of the buses (local transport);
- original invoices of the hotel
- original invoices of the restaurants
These documents will have to be attached to the payment claim to receive the refunding.
TRAVEL ARRANGEMENTS
Each partner will organize its own journey to Ancona.
Project partners are asked to always choose the cheapest means of transport to reach the meetings (apex fares). They are also asked to always choose public services (for local travels in Ancona). Please use taxis only when you can declare that there is no other public transport available to reach the destination.
ACCOMMODATION
All the meeting participants are recommended to book the rooms at the Jolly Hotel in Ancona.
Jolly Hotel is located a few meters apart from the meeting venue and it would be suitable for the IONAS group to stay altogether in one hotel in order to ease the logistic arrangements.
Each partner is asked to book its own rooms for 3 nights:
- check in on Thursday July the 1st
- check out on Sunday July the 4th (or before, depending on personal travel arrangements).
While booking, please mention the words ‘Project IONAS’ in order to get the special rate (B/B) foreseen for the meeting participants:
- Single room: 96 €
- Double room: 133 €
As already mentioned, each partner will be refunded for the anticipated amounts of money, but please keep in mind that all the extra (bar, telephone, pay tv, extra services, etc) will be on your charge.

How to reach the Jolly Hotel from Falconara Airport
Going to the Jolly Hotel from Falconara Airport takes about 45 minutes.
BUS J leaves approximately every hour and takes you to the railway station. (Please find attached the schedule of Bus J).
From the railway station take bus n. 1 (or 1/4 ) direction City centre / port and stop at the last stop of Archi.
You can buy the bus ticket at the newspaper kiosk at the station.
Cost of the ticket: 0.90 € (one way).
How to reach the Jolly Hotel from the Port of Ancona
Right in front of the entrance of the Port there is the Theatre ‘Delle Muse’. You can walk there and then take bus n. 1 (o 1/4), for only one or two stops (Jolly Hotel is located right between the two bus stops).

LUNCHES AND DINNERS
Thursday July 1st
All participants are invited to have their dinner at Jolly Hotel for a first informal get together among all partners.
Being part of the IONAS group, you can take advantage of the dinner for 25 € per person.
Friday July 2nd

Saturday July 3rd

Dinner: a list of suggested restaurants will be provided by the City of Ancona
WORKSHOP MATERIALS
Useful printed material for the workshop (final program, list of participants, copy of presentations, logistic information, etc) will be e-mailed to you and will also be available for all the participants at the hotel rooms and at the venue.
TECHNICAL VISIT: THE PORT OF ANCONA
Mrs Loredana Pistelli, Deputy Mayor for Port Activities of the City of Ancona, will conduct the technical visit to the Port of Ancona. She will explain the politics of the Municipality of Ancona towards the port, anticipating a project of re-distribution of the port areas and activities. The aim is to differentiate the area for transport of goods from the area of passengers, in order to facilitate the access to the port and improve the quality of services.
