Job Title: / Business Support Officer – Portfolio Management

Reporting to: / PMO Leadership Team
Specific Role Purpose: / This role willwork to the strategic direction of WMP and provide administrative and technical support to assist in the successful delivery of the WMP2020 Programme.
Within their role as part of the Portfolio Management team, the BSO will support defined areas of the portfolio, and work collaboratively with the PMO leadership team to plan and pro-actively support portfolio activity. Maintaining a strong focus on business outcomes, clear communications and providing a high level administrative and technical service to senior managers, colleagues and partners.
Specific Role Responsibilities: /
  • Collation of all documentation and produce reports relevant to Audits and FOIs.
  • Configuration and permissions management for SharePoint
  • Build and maintain excellent relationships with key stakeholders
  • Ensure portfolio stakeholder engagement and communications are timely and effective
  • Administrative support for Governance meetings; minute taking, maintain action logs, collation and circulation of documentation and co-ordinate pre meet sessions.
  • Develop and pro-actively maintainthe portfolio;risk/issue/dependencies/assumptions/change/lessons learned registers
  • Management of the vetting process for IIP and contractor resources
  • Recruitment tracking; Administrative support to maintain the recruitment tracker, schedule interviews and support induction activities
  • Management of the skills matrix and training course bookings in line with recruitment and resourcing
  • Liaise and work with colleagues to deliver portfolio objectives
  • Assist with development ofaccurate and timely solutions, documents and materials for programme and project purposes
  • Proactively provide administrative support for the development of Change Requests, Mandates, Outline Business Cases and Detailed Business Cases for all component projects, to the required standard
  • Any other duties commensurate with the role and band/grade

Knowledge & Experience

Hours of Work and Flexibility: / The post holder will be contracted to work 36.5 hours per week but will need to be flexible to meet the demands of the post and may have to work outside normal core hours.
The post holder will need to have the ability to travel to different locations across the region, as required
