Prison Fellowship – Job Description
Job Title / Personal Assistant to the CEOLocation / Support Office, central London
Days / Full Time – Maternity Cover: 19/9/16 – 31/10/17
Reports to / CEO
Main responsibilities / Provide executive support to the CEO

Knowledge and skill requirement:
- High level of secretarial competences and office procedure skills
- Good working knowledge of MS Office applications
- Excellent organisational skills
- Good level of numeracy and literary skills
- Preferably educated to A-Level or Degree standard, with 3 to 5 years’ experience of working in a similar role
Key Interfaces:
- CEO and Leadership Team
- London Support Office team and suppliers
- Prison Fellowship Trustees
- Contact with Prison Fellowship volunteers
- Contact with key stakeholders including senior and public figures
Support for Chief Executive
To give excellent administrative support to the Chief Executive
- Organising Leadership and Team meetings, Away Days, etc, as directed by CEO, taking Minutes as required
- Administering Board meetings including preparation of Board papers for Trustees
- Filtering general information, queries, phone calls and invitations to Chief Executive by redirecting or taking forward, as appropriate
- Responsible for diary management and travel arrangements
- Liaising with key stakeholders on behalf of the CEO
- Coordinating hospitality for meetings and events on behalf of the CEO
- Acting as representative of the CEO, understanding his/her wishes and preferences
- Proactively considers logistical and other future requirements of the CEO, finding suitable solutions
- Ensure that all office services are run in an efficient manner and improved including liaison with suppliers
- Ensure the optimum use of office spaces, room and event space bookings including liaison with landlord
- Ensure support for and improvement of IT and related systems, including liaison with outsourced contractors
- Participation in staff prayer meetings/devotions, taking a lead role as scheduled
- Periodic visits to take part in PF Local Group meetings including prayer meetings
- Help at PF volunteer events outside the office by agreement
- Attend quarterly PF Whole Staff Meetings
