Executive Board Meeting

November 6, 2014

The regular meeting of the Ashley PTA was called to order on November 6, 2014 at 11:03 a.m. in the Science Lab by President, Meredith Smith, Laura Hairston, acting as secretary. A quorum was established.

President’s Report – Meredith Smith

  • Prayer for Ashley PTA (read by Meredith)
  • Last meeting as acting President and will miss working with everyone

Secretary’s Report – Laura Hairston

  • The minutes of the October 9, 2014 executive board meeting were distributed via email and approved as corrected.

Treasurer’s Report – Colleen Dachowicz:

  • Treasurer’s report presented by Colleen Dachowicz. Report showed: Beginning balance of $32,913.78. Total Income $16,594.99. Total Expense $5,607.06. An ending balance of $43,901.71. The treasurer’s report was filed for audit.
  • Update on Counting Accuracy – 20 deposits and only 2 w/minor adjustments! WAY TO GO!

Council Delegate Report – Colleen Dachowicz in for Heaven Lesher

  • Reminder – Lifetime Membership Honorees
  • International Walk to School – 20 schools participated
  • Consider School Shoe Drive
  • School Wellness Council consisting of Nurse, Administrator, PE Coach, 4th Graders (3), 5th Graders (3), Lifestyle Chair
  • 28 Day Fitness Challenge – January 12-16, encourage all elementary schools to participate; 21 days of healthy snacks and update on website
  • 4 PTA’s have Inclusiveness Chair. As of 2015 encouraging all PTA’s to have it.
  • Small World Angel Donations – Counselors usually do this but have Heaven reach out to them
  • Big Picture Growth – 50% of Frisco here; Toyota bringing 2,000 families

OFFICERS REPORTS:

1st VP - Ways and Means – Jennifer Betz

  • Ashley Dash
  • Raised almost $28,000 so far and $750 ear marked already for classroom libraries
  • Encourage friends to turn in envelopes by tomorrow for drawing
  • If anything would change having pep rally at the same time as envelopes are passed out

2nd VP - Programs – Lori Bettencourt for Melissa Stafford

  • Yuck the Science Guy – December 4 & 5
  • 4th grade pumpkin won – needing 3 more volunteers for teachers to go to lunch

3rd VP – Membership – Lori Bettencourt

  • 479 and 100% teacher involvement

STANDING COMMITTEES:

Room Parent – Holly Blackstar

  • Cookie Exchange email coming this week
  • Another push for $$ soon

Community Partners – Ashlea Waters

  • Collected 10,437 box tops and will receive $1,043.70 sent to us in a check
  • 3,241 labels collected (4,000 + points in labels)
  • Winners to receive celebration and CiCi’s pizza coupons
  • Next Collection – Spring (April 6)
  • Possibly before Fall Break do some incentive to encourage their other family members to collect box tops over the break
  • 141 Families – Kroger Rewards
  • Mrs. Weeks will wear wig if we get 200 Kroger Rewards participants by winter break.
  • Will have oversized check presented to us and will need picture taken

SAGE – Jennifer Kent

  • Her and Colleen met with the Frisco in home trainer for ideas
  • December 3rd – National Disabilities Day
  • Bracelet - #accept
  • Acceptance and Education
  • Announcements – fact a day on special needs
  • Mrs. Mayo set out books on table and teachers to read aloud to students
  • Activities for younger children

New Business

10-Year Celebration

  • Need to start planning now
  • Ideas: In & Out Burgers & Eddie Coker
  • Food – sell tickets for $5 (burger, chips & drink). In & Out takes 25% and donates to their foundation for abused and neglected children. We take 75% which would be about $1250.00
  • Eddie Coker – outdoor concert, $1500
  • Carnival Games (10) and families put together
  • 10 Cakes from Sams; Spirit wear t-shirt from each year on cake; $37.99/full sheet
  • Motion #1 by Lori Bettencourt that we amend the budget to show an income of $1500 and expenses of $3000 for the 10th Year Celebration on April 4, 2015. Seconded by Ashlea Waters ayes have it and motion carried

School Supply Expense

  • Motion #2 by Colleen Dachowicz to amend the budget to include $367 in expenses from School Supply Kits and to amend the income for Book Fair – Fall to $8,393.00. Seconded by Lori Bettencourt ayes have it and motion carried

Election

  • Jennifer Betz reads formal resignation of Meredith Smith and nomination of Lori Bettencourt. Voice vote and Carried unanimously
  • 3rd VP of Membership open and nominated Tyne Berlanga. Voice Vote and carried unanimously
  • Historian vacant – if interested, contact Lori Bettencourt

Financial Reconciliation Committee

  • Motion #3 by Anna Fitts that Tyne Berlanga, Holly Blackstar, and Jennifer Kent be on the Financial Reconciliation Committee. Seconded by Jennifer Tenbrink ayes have it and motion carried.

OLD BUSINESS

Book Fair

  • Scholastic $’s and where do they go (5,000)
  • Motion #4 by Tyne Berlanga that we give the Scholastic Bucks from the Fall Book Fair to Mrs. Mayo and the Ashley Library. Seconded by Jennifer Betz and ayes have it and motion carried.
