Preparing for New Faculty: A Checklist for Department Chairs

  • Urge your new faculty member to return all paperwork to Human Resources ASAP, so that they are entered into the campus system early in the summer. Find out when the faculty member plans to arrive at Drew during the summer.
  • Completion of paperwork should mean that a system user ID and a phone number are allocated to the new faculty member, but you should phone Telecom and CNS (Mike Richichi) to be sure that these tasks are completed.
  • Once an office has been allocated to the new faculty member, notify Telecom and CNS so that phone and LAN can be connected.
  • Order office, mailroom and building keys.
  • Make sure the faculty member is allocated a mailbox and that he/she is added to any signs, distribution lists etc. for the department.
  • Check with the new faculty member to determine hardware, software, and equipment needs.
  • Notify Alan Candiotti about faculty member’s hardware and software needs, especially if they require anything beyond the standard Drew package and inform Alan of his/her arrival date.
  • Check office (lab) condition and have any necessary repairs and cleaning done. Make sure basic furniture is in place. Order basic office supplies (stapler, scissors etc. for office)
  • Put faculty member in touch with the bookstore and encourage her/him to order fall books as soon as possible.
  • Inform new faculty that Moodle courses will be created automatically for their courses. The Fac Lab will also provide one-on-one Moodle training for new faculty as they arrive through the summer.
  • Make sure that the faculty member knows how to reach you when he/she arrives in Madison; if you will be away when the person arrives, identify someone in your department who will be available to meet the faculty member and orient him/her to campus.
  • If the faculty member is in campus housing, do whatever you can to facilitate their arrival and moving process.
  • When faculty members arrives on campus, make sure that they go promptly to the business office to get an ID and that they know that the barcode on the ID is the number they use for library access. Also direct them to public safety for a parking sticker.
