Preparing for friendly shoots held at Warlingham Archery Club

The 3-way friendly shoot is held on the 1st Sunday in July. An American round is normally shot. Assembly is at 1030am and shooting starts soon afterwards. There is a break for lunch (about 45mins) after the 1st distance and a short break (5-10mins) after the 2nd distance. The shoot should finish about 3pm.

Items required:

It is important to put on a well-organised and safe tournament. A look at the AGB guidance[1]and the GNAS Rules of shooting for Outdoor Target Archery (Rules 301 & 302)[2]would be worthwhile.

Are there sufficient stands and bosses to accommodate all distances and attendees? Planning will be based on 4 archers per boss. If attendance is exceptionally high then 5/6 on some bosses can be permitted.

Sufficient line to create 2 lines: shooting and waiting

Roll of rope to line up stands at each distance

Flags, target numbers (under target stand and on shooting line) and pegs to hold line down (trip hazard).

Check there are sufficient score boards and prepare score sheets and target lists. Ensure a good mix of clubs and allocate WAC archer to each target to record scores. Group bow styles by boss and put family members near each other to share refreshments and for the supervision of juniors. (Note: if Child Protection Officer is shooting, place on boss near juniors. Will juniors record their scores?)

3 months before day

Need to ensure facilities are available and inform archers.

Secretary: book date with WPS for field and hall.

Club Captain: send invites to clubs (is it on Summer Schedule/timetable?).

Webmaster: put date and details on the website.

1 month before the day

Need to ensure sufficient food available for archers post shoot

Records officer: Collect names of attendees from WAC and invited clubs.

Social Secretary: circulate list of food items required for attending WAC members to volunteer to provide.

Reminders to be issued as and when required.

Day before shoot

Records Officer sends Field Plan (example at end of document) to shoot Field Captain.

Are the score sheets ready?

On the day, laying out field

Shooting commences around 1030. It will take at least 60 minutes to lay out and prepare the field with all the bosses and paraphernalia required.

Records Officer puts up notice board with Field Plan (target list) and adjusts plans for un-notified arrivals or no shows, liaising with the Field Captain (FC)

WAC members shooting or assisting on the day should arrive by 9am to start laying out field.

There should be at least 2 experienced FCs at the start – 1 of whom is the FC for the day. This is to ensure field is properly laid out according to the Field Plan.

The field needs to be square. This can be achieved by careful measuring; or, if you want to be really precise the method described by AGB1.

Relevant points are:

  1. The centralvertical point of the 1st and last bosses along the line should be approx. 9ft (or 3 meters) from edge of marked field;
  2. The centre of each boss should be at least 9ft/3meters(12ft/4meters if 3 archers in a detail) from its neighbour (bosses are approx. 4ft diameter);
  3. Place the target number under each targetat the longest distance (should know the distances between each: 9ft or 3m)
  4. Important: Place the shooting line target number along the line at the same distances as the target numbers (i.e so field is square)
  5. Compound archers will have special stands, some accommodating 2 bosses

Lay out the field (steps 6 to 10 can be performed day/evening before shoot):

  1. Determine the length of line required to accommodate all archers (see below) and mark out shooting line with a waiting line approx. 15ft behind it (use 4 metal spikes). Archers should set up tents, equipment etc., about 10-15ft behind the waiting line (this is the ‘tent’ line);
  2. Mark out field distances (use all distance markers up to the maximum distance required): use line to longest distance to ensure a straight line of markers.
  3. Use the rope, between distance markers at the longest distance, measure out distances (as in #1),always working from the distance marker, and place target number below where the centre of the target will be.
  4. Repeat step above at each distance but use small circles to indicate where the target number will go.
  5. Ensure shooting and waiting lines are pinned down (to reduce risk of trips)
  6. Place ‘Keep Out’ signs between car park and shooting area.
  7. Position bosses with target faces. Place the boss stands on the line – with the front legs touching and in front of the rope (double boss stands have legs just behind line). Put flag (alternate GB/England) on each target;
  8. Ensure there are no incorrectly positioned targets (line up be eye).
  9. Records Officer places score boards on relevant numbered area on shooting line.

Determining required length of the target line:

Length of line, L = (d x n) + d.

Whered = distance between each boss and of 1st and last boss from distance markers;

n = number of bosses.

Example: If d = 3 meters and n = 9 then L = (3 x 9) + 3 = 30 meters.

Assembly

This is an opportunity to welcome archers and explain facilities and timetable for the day.

Club Captain welcomes archers, information on ‘facilities’ (toilets, hot drinks) and introduces Field Captain

Field Captain explains plan for the day:

Identify which targets are shooting American round AND juniors will be shooting a St. Nicholas (4 doz at 50yds, 3 doz at 40yds), etc.

6 sighters at longest distance then 30 arrows each at 3 distances; All shoot 6 arrows per end in 2 details of 3 arrows.

Lunch after 1st distance;a short break after 2nd distance; ‘tea’ provided at end of shoot.

Archers are not to record their scores on the score sheets.

Remind everyone that odd score = odd hits, even score = even hits.

Ask for help in moving targets; explain the system for lining up targets.

Identify any hazards (mention shooting line even if pegged down) and what has been done to reduce risk.

After 1st and 2nd 30 scoring arrows

Place a metal spike by each distance marker, tie rope tightly around spikes, and ask archers to move bosses so that front legs are in front but touching the rope. Do a visual check that all bosses are correctly positioned.

Field Captain indicates restart time (giving a few minutes warning)

After 4 dozen scoring arrows for St. Nicholas rounds

Adults assist in moving targets – FC lines up by eye.

At end of shoot

Scorers complete scorecards, ensuring agreement and getting each archer to sign their score (NOTE: Odd hits = odd score; even hits = even score). Give completed score sheets to Records Officer.

Take down the field whilst the Social Secretary and volunteers lay out refreshments and food provided by Club members.

While attendees collect and have tea,Records Officer will enter scores in software programme, assisted by another WAC archer, to produce list of individual and team winners.

Club Captain reads out results to archers.

After visitors have left, clear up.
