Premises Manager Job Description
Post Title:Premises ManagerJob Purpose:To ensure that the Academy and Children’s Centre is maintained and secured to a high standard and that the environment in and around the grounds are presented in a safe, attractive and positive way.
Responsible To:Academy Business Manager (ABM)
Liaising With:Members of the Senior Leadership Team; RLA staff, Property Maintenance Contract Staff, on site contractors and visitors to RLA.
Hours of Work:35 hours per week, full year. Split shifts 7.00am - 10.00am and then 2pm - 6pm
Grade of Post:Grade E (NJC 22 – 25) / Salary:£20,661 - £22,658 pro rata
Disclosure Level:Enhanced
KNOWLEDGE, SKILLS & EXPERIENCE:
Expertise in minor maintenance, repair and decoration
- Knowledge of policies and procedures for security, alarm systems, health and safety, minor repairs & maintenance, supervision of cleaning and contract staff
Experience of communicating with a range ofstaff and external contractors
- Functional literacy skills
- Experience of mini bus driving and housekeeping
- Legal driving license is essential with D1 category desirable
MAIN /CORE DUTIES / ●Responsible for opening and closing the building as required and for ensuring that it is secure and all alarm systems are armed/disarmedcorrectly, in and out of school hours;
●Carry out regular inspections of Academy premises and take appropriate action to ensure the safe, operational function of the site (such as: heating, cooling, lighting, CCTV, security);
●Report any problems with contractors to the ABM, Admin Manager or Headteacher;
●Report any need for repair or maintenance work to the ABM, Admin Manager or Headteacher;
●Manage the completion of general repairs, not requiring a contractor, in accordance with RLA’s maintenance reporting procedures;
●Cleaning duties as required;
●Arrange and maintain the monitoring and reporting of routine maintenance and compliance checks and report to the ABM as agreed;
●Monitorthe efficientuse of heating, lighting and water and make recommendations;
●Perform duties in line with health and safety and COSHH regulations and take action where hazards are identified, reporting serious hazards to the ABM, Admin Manager or Headteacher;
●Carry out portage duties within RLA including furniture, equipment, general orders, rubbish removal;
●Ensure bin-store and boiler room areas are kept clean, combustible and clutter free;
●Take reasonable action to keep all drains, downspouts, waste pipes etc. clean and clear of minor blockages that are clearly visible;
●Carry out daily site inspections, including the Rec, and take remedial action eg removal of graffiti, litter, breakages, recording outcomes in accordance with reporting procedures;
●Procure quotes for routine maintenance work on school premises, as agreed with the ABM;
●Contribute to the management of the premises budget;
●Establish, monitor and evaluate agreed maintenance and cleaning duties, routines and rotas;
●Act as a designated key holder, providing out of hours and emergency access to the Academy site, whenever possible;
●Facilitate lettings and carry out associated tasks, in line with Academy agreements;
●While contractors are on site for a prolonged period of time, liaise daily with them and alert and discuss any issues with the Head Teacher or ABM;
●Attend the termly inspection by the Health and Safety Committee;
●Maintain confidentiality and not bring the Academy into disrepute;
●Ensure compliance with policies and procedures relating to child protection, health, safety, security and safeguarding;
●Advise the ABM on site improvements
OPERATIONAL/STRATEGIC PLANNING
Use current legislation, research and feedback to inform practice and make adaptations as required.
SERVICE PROVISION & DEVELOPMENT
Deliver appropriate, high quality provision which compliments the Academy’s strategic objectives.
STAFFING & STAFFING DEVELOPMENT
Supervise, and provide support and guidance to premises staff.
Foster teamwork with staff to ensure constructive working relationships.
Communicate professionally and effectively with all staff members.
Treat team members with equity, professionalism and respect and be proactive in supporting all team members, regardless of their need and role, to have high expectations for all.
Listen and act upon views of team members to deliver excellent service and high quality provision for all.
Celebrate successes of team members - both work related achievements and life events.
RECRUITMENT/DEPLOYMENT OF STAFF
Liaise with contractors who are on site and ensure their work is of the expected standard, reporting any concerns to the ABM.
QUALITY ASSURANCE
Participate in monitoring and evaluating provision in line with agreed procedures.
MANAGEMENT INFORMATION AND ADMINISTRATION
Produce appropriate and timely reports for various audiences, eg Governing Body, external agencies / contractors.
Ensure all regulatory paperwork is up-to-date and site maintenance products are stored safely meeting health and safety requirements.
COMMUNICATIONS
Ensure that all communications demonstrate the values of the Academy.
Attend meetings as required.
Contribute to the development of effective links with the community.
Contribute to effective systems of communications.
MARKETING & LIAISON
Attend meetings and functions as required to support the delivery of the role, ensuring the values of the Academy are met.
MANAGEMENT OF RESOURCES (OTHER THAN PEOPLE)
Maintain existing resources and explore opportunities to develop or incorporate new resources from sources inside and outside the Academy.
Ensure that RLA’s environment contributes to safe, successful and effective learning.
CORPORATE RESPONSIBILITY
Play a full part in the life of the Academy community, supporting its distinctive mission and encouraging staff and children to follow this example.
Promote actively the Academy’s corporate policies.
Comply with the Academy’s health and safety policy and undertake risk assessments as appropriate.
