PRE-SEASON MEETING 23rd FEBRUARY 2018 AT TARKA CENTRE

Lyn was not present but had requested that Chrissy W represented the club.

AGM MATTERS:

Proposal – That a player eligible to play for a team at the completion of that team’s matches should remain eligible to play for that team in any future challenge match, regardless of which team he/she has played for after the said completion.

Carried:

Pro - 7, Con - 1, Abs - 3

Proposal – The formation of a summer mixed league – as per Steve Minall’s document circulated. Steve answered some questions re fixtures, numbers/divisions depending on interest. There were some doubts raised re the availability of court time, but Steve said fixtures would be flexible.

Proposed Alex W, seconded Julia.

Carried:

Pro – 8, Abs – 3

Proposal – Formation of a doubles ladder for vets (over 60) – as per Steve Minall’s document circulated. To give opportunities for social but competitive play.

Steve M was thanked for these two suggestions.

Proposal – That the team winning division 2 should not automatically be promoted, but could challenge the team at the bottom of division 1.

There followed some discussion, after which Alli Swinton made the proposal, but there was no seconder, so the proposal was withdrawn.

PRESENTATION EVENING:

With Tarka Centre having withdrawn their offer, the choice was between Portmore and Cedars.

Chrissy proposed Portmore

Pro – 6, thus no need for a vote on for Cedars.

SAFEGUARDING:

Marian Vinall (Devon Safeguarding Officer) spoke to the meeting about the important new LTA policies and guidelines,

Several key pointers: Every club, in order to be registered with LTA and to be eligible for any of the associated benefits, must have a Welfare Officer. This official needs to be trained and named by October this year.

The next level 1 training course will be at Tarka24thMay.

The next level 2 course is at Taunton in March.

DBS required.

Coaches cannot be Club’s Welfare Officer

When checking accreditation for coaches clubs should double check both the name and photograph.

Visits/audits will be started from November.

Chrissy W suggested Marian put all contact information on the NDLTA website.

LEAGUE DIVISIONS:

The proposed divisions had been circulated prior to meeting.

There was a query re Tarka’s re-organisation of their men’s teams, moving teams from mid-table, as opposed to removing teams from bottom of League.

It was questioned why there were only 5 teams in men’s division 1, giving them only 8 matches? The answert was that with the number of entries(29), there would inevitably be one division with 5 teams, and with the result of the challenge matches and subsequent promotion/relegation, this year it happened to be division 1.

Sue H proposed having 3 divisions of 7 and one of 8.

There was a long discussion re merits of this, but it was agreed to maintain the status quo – time constraints meant a div of 8 was problematic, and the re-organisation of 5 divisions in to 4 somewhat negated the challenge results.

The question of Lyn’s failure to enter on time and non- appearance at the meeting was discussed.

It was agreed that they be given a warning.

The wording on entry and affiliation form was to be altered to read:

ANY RECEIVED LATER THAN THIS (date) MAY NOT BE INCLUDED IN THE (year) LEAGUE PROGRAMME

CUP DRAWS:

These were done – men’s KO (9) a conventional KO draw. The ladies KO (6), and both Pete Stacey draws (5) were to be round robin format.

DATES
Dates circulated with agenda were confirmed.

The John Walsh date had been altered from 13th May to 20th May.

Challenge matches would be held over the weekend 12th/13th/14th October.

Date of Presentation evening would be known when Portmore had been contacted.
