Addendum: Paid Time Off and Health Insurance Policies

Vacation Time

Postdocs are entitled to one month’s vacation (20 working days) within the term of an appointment, which should be used before the appointment end date (usually June 30.)It is at the department’s discretion if vacation time can be carried over to the following year. All vacation time must be used before the appointment termination date as any unused time will not be paid following an appointment end date.

Sick Time

Sick days are accrued at the rate of 1 day per month, and can be carried forward to subsequent appointment terms up to a maximum of 130 days.

Personal Time

Postdocs are eligible for 3 days of personal time to be used during the term of their appointment (July 1 – June 30). Personal time cannot be carried over to the following year.Personal days offer additional flexibility in balancing work and life.

The paid time off policy applies to benefits-eligible postdocs. All unpaid postdocs must coordinate any time off with their supervisors and/or Department Administrators.

Health Insurance

Massachusetts law requires all state residents over the age of 18 to obtain health insurance. This requirement applies to staff and students attending Harvard Chan School, including postdoctoral research fellows who pursue their training at the Harvard Chan School and are mentored by Chan School faculty. As part of the School’s commitment to the law, the Harvard Chan School has established the policy that, regardless of funding source, all the Harvard Chan School postdocs should have health insurance coverage.

Postdocs who are paid by Harvard University are eligible for employee health coverage. However, postdocs who are directly-funded by non-Harvard institutions and who are not employed by Harvard are not eligible for Harvard employee health coverage. In these cases, it is the responsibility of the faculty member for whom the postdoc is working to ensure that the postdoc has health coverage that complies with Massachusetts law and provides the same level of coverage as that provided to Harvard employees.

In general, if a postdoc’s health insurance is not provided by an employer or other funding source, the sponsoring faculty member should be responsible for reimbursing the postdoc up to $2,500 per year for the purchase of health insurance. Any postdoc with dependents who also need health insurance coverage will need to negotiate such coverage with the sponsoring faculty member.
