Post Title:Shop Manager

Hours:37.5 hours per week over 5 days

Salary:£17,000 plus incentive

Based:George Thomas Hospice Care Shop, Whitchurch, Cardiff

JOB PURPOSE

GTHC benefits from an experienced Board of Trustees, a team of highly motivated clinical and support staff, approximately 375 volunteers, a modern Hospice Centre and substantial financial reserves. GTHC is undertaking ambitious plans to significantly increase income from all sources, including its retail operations, by expanding the supporter base and appealing to new audiences, increasing participation in existing and new fundraising events, and developing the scope of individual giving and corporate sponsorship.

The post-holder will manage a busy charity shop, one of the 7 operated by GTHC in Cardiff and the Vale of Glamorgan. The post holder is expected to achieve challenging sales targets, help recruit and effectively manage a team of volunteers and placements, promote local awareness of the charity, promote customer service excellence and maintain high standards throughout the shop at all times.

PRINCIPAL AREAS OF RESPONSIBILITY

  1. Stock donations and processing

1.1.To be responsible for generating sufficient stock donations through pro-active and positive relationships with the local community and businesses.

1.2.To oversee all aspects of the stock handling process, ensuring that all team members maintain high stock standards and process the targeted amount of good quality donated stock.

1.3.To maintain excellent display and merchandising standards at all times.

1.4.To manage and implement effective and competitive pricing in store, within the guidelines provided.

1.5.To ensure GTHC branding guidelines are adhered to, ensuring that only officially issued ‘Point of Sale’ devices are displayed within the shop and in the shop window.

1.6.To limit the amount of shop wastage wherever possible, ensuring unused or recycled products are disposed of through the officially designated channels.

  1. Volunteers

2.1.Make contact and maintain professional relationships with GTHC’s Volunteer Officer and external agencies as necessary to help support the recruitment of volunteers and other unpaid staff.

2.2.To help create a positive and fulfilling environment for all team members.

2.3.To recruit, train and manage volunteers - ensuring that they are competent to carry out the duties required of them.

2.4.To provide regular and meaningful feedback to volunteers, ensuring that performance issues are addressed at an early stage – providing support and a positive framework to help volunteers improve performance. Provide positive feedback and recognition for performance achievement.

2.5.To regulate a rota, ensuring that sufficient cover is available, ensuring that leave is planned effectively across the whole calendar year.

  1. Security & Health/Safety

3.1.To adhere to the Procedure Manual at all times, ensuring that the till reconciliation and banking is completed each day, reporting any issues to line management immediately and taking any resultant action as necessary.

3.2.Preparation and submission of necessary paperwork, meeting stated deadlines.

3.3.To undertake daily health & safety checks, as directed and to be the primary first aid contact within the shop.

3.4.To manage within the guidelines of all GTHC policies and procedures.

3.5.To be responsible for key holding and banking.

4. Additional Items

4.1 To attend meetings and training sessions as requested.

4.2 On occasions to work above contracted hours, for example to cover absence for sickness or holidays.

4.3 Travel to other shops and GTHC facilities if required.

4.4 To fulfil mutually agreed additional duties when necessary

4.5 Make decisions within clearly defined and agreed delegated authority

5. Training

5.1 Participate in any statutory and mandatory training in line with GTHC policy

5.2 Take part in the Individual Performance Review process

DEVELOPMENT OF GTHC

6. As part of normal duties, actively promote GTHC and its activities to all.

DBS DISCLOSURE CHECK

7. In this role you are unlikely to be in contact with patients / service users / vulnerable

adults in the course of your normal duties. You will therefore NOT be required to apply for a Disclosure Barring Service check (formerly Criminal Record Bureau Enhanced Disclosure Check) as part of GTHC’s pre-employment procedures.

COMPETENCE

8. You are responsible for limiting your actions to those which you feel competent to

undertake. If you have any doubts about your competence during the course of your duties you should immediately speak to your line manager.

RISK MANAGEMENT

9. It is a standard element of the role and responsibility of all staff of GTHC that they fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards.

RECORDS MANAGEMENT

10. All GTHC staff are legally responsible for all records that are gathered, created or used as part of their work within GTHC (including patient health, financial, personal and administrative records), whether paper based or on computer. All such records are considered public records, and all staff have a legal duty of confidence to service users, during and after employment service with GTHC.

HEALTH AND SAFETY REQUIREMENTS

11. All GTHC staff have a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions. Staff are required to co-operate with management to enable GTHC to meet its own legal duties, to report any hazardous situations or defective equipment, and to adhere to Health & Safety at Work regulations and comply with GTHC’s Fire Safety Policy.

FLEXIBILITY STATEMENT

12. This Job Description does not form part of the contract of employment but indicates how the contract should be performed. The Job Description will be subject to review and amendment in the light of experience and changing circumstances and in consultation with the post holder as part of the annual appraisal process. The responsibilities attached to the post may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence and would not in themselves justify the re-evaluation of a post.

CONFIDENTIALITY

13. All GTHC staff are required to maintain the confidentiality of members of the public (patients, well women and service users etc.) and members of staff in accordance with GTHC policies.

PROBATIONARY PERIOD

14. Appointment to this post is subject to the satisfactory completion of a probationary period of 12 months. During this time your line manager will have the opportunity to review and assess your suitability.
