Salary Scale: NJC Points 14-16

Conditions of Service: Part-time (32.5 hours per week in the first instance) term time (44.2 weeks

per year) [8-3 with ½ lunch break)

Responsible to:Headmaster’s PA/Administration Manager

Purpose of Job

  • To provide an efficient front office and telephone reception service to the School.
  • To undertake a range of administrative, clerical and routine typing/word processing work

Main Duties and Responsibilities

1 Reception

  • To provide a courteous and welcoming telephone and reception service for visitors to the School, operating a signing system and ensuring that all visitors to the School premises have appropriate identification.
  • To operate the school switchboard, deal courteously with enquiries, handle efficiently incoming and outgoing calls, take messages and liaise with staff and pupils.
  • To undertake other typical office duties such as assisting with recording accidents and incidents and dealing appropriately with incoming and outgoing mail.
  • To provide, as appropriate, support and advice to pupils and staff at the office reception

2 Other specific duties

  • To take notes at Monday morning briefing and distribute
  • To type routine letters for members of teaching staff
  • To produce the staff bulletin each week
  • To keep the ‘in/out’ board up-to-date
  • To send items via ParentPay
  • To produce Duty Boy lists and ensure a duty boy is available each day
  • To frank outgoing mail
  • To organise and maintain tour dates/visits liaising with Headmaster’s PA
  • To organise visitors record book and visitors badges
  • To organise name badges for all staff, including all information required within latest safeguarding requirements.
  • To sort and deliver incoming mail including blue bag post
  • To ensure visitors book is taken for fire and fire drills and account for all visitors in designated area
  • To maintain the staff ‘Who’s Who’ list
  • To maintain pigeonholes and rename as required

2.3 General

  • To undertake a range of clerical and general office duties including filing - both paper and electronic – and archiving.
  • Generally to assist the Headmaster’s PA/Administration Manager or any other responsible officer in the administrative arrangements of school events and the provision of efficient support services to the Headmaster, Governors and teaching staff of the school.
  • To undertake other appropriate duties at the request of the Headmaster, Governors, teaching staff or support staff management of the school.
