JOB DESCRIPTION

Job Summary

You will report directly to the Head of Finance. You will be part of the Trust’s Head Office team assistingin all business and financial matters relating to the Trust, including but not limited to, maintaining financial records, processing payments and invoices, accounting for cash income,payment of salaries, assisting with internal audit, telephone enquiries and corporate administration.

You willprovide support and cover for the Corporate Administrator, ensuring adequate supportat Board meetings and to SMT, as well as supporting on Education administration; pupil information, course quality control and pupil recruitment and registration.

Job Activities

Service Delivery

  1. To administer the purchase order system.
  2. To check, process and seek correct authorisation of supplier invoices.
  3. To undertake timely & accurate preparation of payment run.
  4. To reconcile Supplier statements.
  5. To investigate and respond to Supplier queries in a timely manner.
  6. To process petty cash.
  7. To raise invoices for services to partners and for block bookings, beach huts, boat moorings and Clubs/events/promotions.
  8. To proactively collect debt.
  9. To reconcilethe sales ledger payments against invoices.
  10. Reconciliation of balance sheet accounts.
  11. Weekly cash income reconciliation & reporting.
  12. To produce cashflow reports and forecasts.
  13. To reconcile inter Company accounts.
  14. Assist with end of year preparation and procedures.
  1. Support the administration of the Direct Debit service.
  1. To answer incoming calls from customers with efficiency and professionalism.
  1. Assist theinternal audit team to ensure compliance with agreed procedures and regulations.
  1. To assist with preparation of agenda’s and minute meetings for the Board and Senior Management team as required by the meetings calendar.
  1. Support on Education administration; pupil information, course quality control, pupil recruitment etc.
  1. Support and cover for the Corporate Administrator, ensuring adequate supportat Board meetings and to SMT.
  1. To assist with the administration duties for the Lowestoft Beach Hutservice.
  1. To assist with the administration of the Passport to Leisure Scheme.
  1. To assist with the collation of KPI and other performance report information and report monthly to Managers.

Communication

  1. To engage in proactive and effective communication with staff and customers.
  1. Assist all customers who have queries complaints or require information, in a polite, friendly and helpful manner.

  1. Plan, organise and manage your own workload to ensure your contribution to the company’s monthly financial reporting process is achieved in a timely and accurate manner.
  1. To ensure that SLT’s communication procedures are fully complied with ensuring effective two-way communication between all groups of staff.
  1. To positively respond to customer enquiries in a calm, professional and diplomatic manner.
  1. To make recommendations for improvements to the service and ensure feedback is communicated to the appropriate staff.
  1. To ensure SLT Financial Regulations are complied with at all times.
  1. To maintain a close and positive working relationship with SLT’s respective partners.
  1. To comply at all times with SLT’s Disciplinary Policy.
  1. Undertake such other related duties as may be allocated from time to time by the Managing Director.
