Your work area

Development and Alumni Relations oversees the University’s alumni engagement strategy as well building on the University’s external relations through the growth of philanthropic giving. The Development and Alumni Relations team is undergoing a period of significant expansion as it undertakes greater philanthropic and alumni engagement as part of the University’s major New Century fundraising campaign.

Your role

The Senior Events Officer supports the outreach and engagement goals for UWA faculties, Friends, Stewardship and Alumni Engagement, in Western Australia as well as nationally and internationally.

Under strategic direction from the Manager (Donor Relations and Stewardship),and with a strong service orientation, the Senior Events Officerwill liaise with internal and external stakeholders to plan, organise, implement and assess events in support of alumni, donor, student-as-future-alumni and community connection and engagement.

Key responsibilities

Responsible for providing event logistics for events scheduled on the Development and Alumni Relations event calendar, as well as for select areas across campus, inclusive of but not limited to flagship engagement initiatives, Senate Community Dinners, Vice Chancellors relationship and stewardship events, gift announcements, launches, alumni reunions, faculty or discipline anniversaries and celebration, and student engagement functions.

Within Development and Alumni Relations, works closely with event initiators, as well as the functional areas of finance, communications, research and data management, to maximise event effectiveness through quality invitation lists, promotion, registration, briefing notes, food/décor, order of proceedings and follow-up.

Working with key stakeholders, assists with the stewardship of speakers, VIPs, as well as community, corporate and government representatives. Assistswith the coordination of internal staff and volunteers, as applicable.

Seeks to bring event initiators’ vision to life through thoughtful and collaborative selection of suppliers, catering and décor; as well as recommendations for speakers, programming, order of proceedings, etc.

Manages and directs the work of the Events Officer.

Prepares and monitors event budgets. Assists in sourcing potential event sponsors as requested.

Coordinatesevent-related data import and export from the Raiser’s Edge database and,specifically, the Events Module, for all events organised through the Development and Alumni Relations office, with a view to enriching event experience as well as data efficacy.

Your specific work capabilities (selection criteria)

Relevant tertiary qualifications or demonstrated equivalent competency

Relevant event management experience

Well-developed staff management and organisational skills and the ability to set priorities and meet deadlines

Demonstrated time and project management skills

Excellent written and verbal communication skills and high-level consultation, collaboration and problem solving skills

Proven ability to build lasting business relationships, provide excellent client service and work effectively with volunteers

Knowledge of trends in event fundraising, management and sponsorship

Ability to coordinate budgets as well as events planning documentation and assessments

Proficiency in a range of computing skills including word processing, spread-sheets, databases, internet and email
