1MANAGEMENT OF ADMINISTRATION STAFF

Administration staff are an integral part of our college. Their collective task is to allow the college core business, of teaching and learning, to proceed as smoothly as possible. To this end, the support staff must work collaboratively and efficiently to enhance our core business. The General Manager’s task is to ensure that this is so.

Expected Outcomes

1.1Administration staff will be appointed and organised into the most efficient configuration to meet non-teaching requirements.

1.2Administration staff will receive regular feedback (appraisal) on their contribution and performance, will be professionally supported in their work and be accountable for their performance.

1.3Communication to and within the administration staff will be regular and sufficient to allow them to feel included in all college events and decisions.

1.4Close liaison with the college chef and kitchen staff will ensure that both boarding needs, and those of the wider college community, will be met to the very highest standards.

2MANAGEMENT OF COLLEGE PROPERTY

The college has property and grounds assets valued at over $XX. The management and development of these assets is obviously a vital responsibility of the General Manager. The college has a facilities committee, responsible for the planning of property/facility enhancements and answerable to the Board of Governors.

Expected Outcomes

2.1Property maintenance plans will be developed, managed and computerised.

2.2Close liaison, a good working relationship and monitoring of work will be maintained with the college architect and any construction companies or service providers associated with the college.

2.3Close liaison and good working relationships will be established and maintained with the college maintenance grounds staff and the college custodian.

2.4The board will be well-informed about all property matters and the General Manager will either chair the facilities committee, or work in close cooperation with the chairman.

2.5College facility leasing/hiring will be efficiently organised and managed.

2.6Financial responsibility and budget development and monitoring will be expected for capital developments (major and minor), repairs and maintenance, furniture and equipment, buildings and grounds and kitchen budgets.

2.7The college will be cleaned adequately and cleaning contracts will be negotiated and managed.

2.8Oversee all the college insurances, including the tendering process and all claims.

2.9Daily maintenance requirements within the college will be prioritised and actioned.

2.10College plans and planning documentation will be filed and maintained.

3COLLEGE ADMINISTRATION

With over 100 teaching staff and around 60 support staff, there are important administrative tasks required to ensure an efficient organisation.

Expected Outcomes

3.1Staffing information (salaries, job descriptions, etc) will be properly computerised and maintained.

3.2Teaching and non-teaching contracts and conditions of services will be properly negotiated (with the board), documented and serviced.

3.3The human resources committee will be coordinated and chaired.

3.4The newly-installed college administration computer package will be fully utilised and maximised.

3.5OSH, fire, health and safety, property certification, resource consents and other regulatory requirements will be properly monitored and administered.

3.6Preparedness to act as Board of Governors secretary (if required).

4BUSINESS MANAGEMENT/FUTURE OPPORTUNITIES

The future sustainability of independent schools will require the college to explore and develop new income streams and to scrutinise all existing systems for efficiencies, without detracting from the core business of the college, which is the teaching and learning of the students. The college does have a full-time Director of Development, primarily responsible for marketing, promotion and college publications.

Expected Outcomes

4.1Existing and new profit centres will be maintained and developed.

4.2Reports will be prepared, as required, for senior management and board (monthly) on new initiatives or the state of existing parts of the college operation.

4.3The college will be positively marketed and promoted, in conjunction with the Director of Development.

4.4Effective and profitable links with the business community will be undertaken, where benefits to the college may result.

4.5Use of college grounds and premises will be maximised and new initiatives in the area of evening class/after-school programmes/holiday courses will be explored.

4.6Development of international/overseas contacts, promotions, initiatives, in conjunction with the Director of International Students and Director of Development.

4.7New initiatives for future development (eg, on-line learning/adult education) will be contributed to the college strategic plan.

PERSON SPECIFICATION

CONTRACTUAL CONDITIONS

1An individual contract will be negotiated for this full-time, senior management position.

2Salary will be commensurate with background and experience, but will reflect the important status of the position.

3An office, with computer, will be provided, along with access to secretarial/office assistance.
