POSITION TITLE: Financial Administrator

CLASSIFICATION: Permanent part time (.4 EFT)

HOURS: Tuesday – Thursday (flexible)

2 days per week/30.4 hours per fortnight

SALARY: $60,000 - $70,000 negotiable (pro rata)

MANAGER: Reports to CEO

The Torch

The Torch is an arts organization that provides art, cultural and arts vocational support to Indigenous offenders and ex offenders.

The core business of the Torch is to address the over representation of Aboriginal and Torres Strait Islander people within Victoria’s correctional facilities through its’ State-wide Indigenous Arts in Prisons & Community program.

The Torch has two objectives:

1. Through art, cultural, and arts vocational support, provide a forum for cultural exploration, expression and strengthening for members of the Indigenous community who are incarcerated, and

2. Through supporting creative skills and connection to culture, work with participants to find a new way forward on their return to community and reduce rates of recidivism.

The Torch programs are aligned to the objectives of the Aboriginal Justice Agreement (3rd phase) that aim to strengthen Indigenous offenders cultural knowledge and identity as part of the rehabilitation process.

Position Summary

This role will manage the financial, governance and key administrative activities of the Torch.

Main duties/responsibilities:

The key duties and responsibilities for this role are:.

·  Manage the organisation’s finances through Xero software

·  Manage a small payroll and all related functions including superannuation, taxation, Workcover, leave entitlements etc.

·  Develop the organisation’s annual budget with the CEO and the Treasurer

·  Preparation and Reconciliation of BAS and End of Financial Year functions

·  Manage the organisations reporting obligations including funding acquitals and funding applications

·  Oversee the Torch’s audit process

·  Provide statements, annual reports and budgets for funding bodies, relevant bodies (ACNC, deductible gifts register etc.) and evaluations as required

·  Manage art sale payments, invoicing, sale documentation for both the in prison (Corrections paperwork) and community based sales

·  Liaise with Corrections institutions tracking artist’s movements within the prison system (following up payments) and maintain documentation on payments for artists who are untraceable post release

·  Manage office administration including 3 company cars (registration, log books, servicing etc.), insurances (artwork, building, professional indemnity, business etc.) and office supplies

·  Manage the organisation’s information technology including software licenscing, email accounts, back ups etc.

·  Provide governance support to the Torch’s Board including developing agendas, taking minutes, providing Board papers to Board member and organizing 6 Board meetings per year

·  Assist in supporting artists in the Torch programs and their families as required

·  Other tasks as directed by the CEO

KEY SELECTION CRITERIA

Essential skills/requirements

1.  Tertiary qualifications in Bookkeeping/Accounting.

2.  Excellent financial and bookkeeping skills.

3.  Excellent Microsoft Office skills (Word, Excel, Outlook) and experience working with Xero software.

4.  Experience in the preparation and lodgement of BAS and GST statements.

5.  Experience in online banking systems.

6.  Highly organised and ability to meet deadlines with a high attention to detail.

7.  Experience working in the not-for-profit sector and flexibility to accommodate the unique needs of The Torch’s clients.

8.  High level written and verbal communication skills including engaging with people from culturally diverse backgrounds.

9.  Ability to work effectively within a small team, contributing positively to team operations and working relationships.

10.  Appreciation and understanding of the significant work that the Torch undertakes with Indigenous community members.

Desirable skills

·  Experience as a Company Secretary.
