POSITION PURPOSE:

This position manages the office operations including planning and preparing events, and updating the organization’s website and social media outlets. This position handles building issues with property manager, works with IT to handle information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the executive team.

QUALIFICATIONS:

Bachelor’s degree from an accredited college or university, or ten years of experience in the health, human services or related field preferred. Demonstrated ability to learn rapidly and to apply new skills in an office setting will be considered in lieu of specific experience. Strong interpersonal, written and verbal communication skills required. Excellent organizational skills with an ability to perform in a fast-paced, deadline-oriented work environment required. Ability to successfully execute many complex tasks simultaneously. Ability to work well with other support staff, executive staff and Board and Committee members. Demonstrated ability to work as a team member, as well as, independently. Computer literacy, along with the ability to develop and present presentation materials. Valid driver’s licenses required. Reliable transportation required.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

  1. Responsible for working the Director, Human Resources to organize and maintaininternal operations of the office, including building inquiries and issues.
  2. Maintain good relationships with Agency staff, Board members and all other agencies supportive of the mission of the Agency.
  3. Manage Vice President, Public Affairs calendar, trip itinerary, and transportation.
  1. Maintain security and confidentiality of all records, documents and other matters of which there is official responsibility.
  2. Maintain and update Agency website and social media outlets, as well as serve as the I.T. operations back up for the Agency.

  1. Coordinate all Agency events including scheduling of guests, managing RSVPs, scheduling the caterer, and other logistics.
  1. Coordinate meeting dates with appropriate committee members and administrative staff. Record, transcribe, prepare, and retain minutes Schweitzer Fellowship board for the Vice President, Public Affair.
  1. Responsible to coordinating, scheduling, and confirming travel itinerary for all committees, and Board of Directors meetings.
  1. Order food and prepare set-up for Community Advisory meetings.
  1. File and retrieve corporate documents, records, and reports.
  1. Prepare responses to correspondence containing routine inquiries.

SUPPORTIVE FUNCTIONS:

  1. Provide telephone coverage as back-up support.

WORKING CONDITIONS:

  1. Must be able to work a flexible schedule including some evenings and weekends (per agency requirements).
  2. Able to complete duties under stress, deadlines, and while attending to multiple duties simultaneously.
  3. Prolonged computer related exposure, as well as sitting and standing at workstations for long periods of time.
