STUDENT OFFICE COORDINATOR

Contract Position Until September 30, 2015

Grand River Employment and Training is seeking an energetic individual with exceptional work ethics, communication skills, customer service and teamwork skills. The Student Office Coordinator will be responsible for managing the daily operations of the Summer Student Office.

The Student Office Coordinator shall be a recent graduate possessing a university degree or college diploma in human services, business, office administration or a related discipline and experience working with Windows and Microsoft Office – Word, PowerPoint, Excel.

Position Title:Summer Student Office Coordinator

Reporting Relationship:

Works under the direction and supervision of the Program Quality Manager to manage the Summer Student Office.

A.PURPOSE AND SCOPE

TheSummer Student Office Coordinator shall promote GREAT’s summer student’s goals and objectives. In support of GREAT’s goal of providing quality services, theSummer Student Office Coordinator shall continuously strive to improve operations and streamline work processes.Under the direction of the Program Quality Manger the Student Office Coordinator is responsible for managing the daily operations of the GREAT Summer Student Office.

B.QUALIFICATIONS

The Summer Student Office Coordinator must be a recent post-secondary graduate and possess the following qualifications:

  • knowledge of student office procedures
  • Excellent communication skills both written and verbal
  • Strong interpersonal skills
  • Ability to negotiate and prepare contractual agreements with stakeholders
  • Excellent organizational skills
  • Ability to complete tasks with minimal supervision
  • Must maintain confidentiality
  • Excellent working knowledge of computers, Microsoft office; word, power point, and excel

C. Primary Responsibilities and Duties

The Summer Student Office Coordinatorshall promote GREAT’s goals and objectives, maintain the level of professionalism expected by GREAT as outlined in the Policies and Procedures Manuals, and uphold the ethics of the position. In addition, the Summer Student Office Coordinator shall complete the following duties as required by this position:

Administration

1)Overall day to day operations of the GREAT Student Office including planning and organizing of the office.

2)Supervise summer student office staff

3)Search out and secure additional sources of summer student funding for the community

4)Create work plan to identify programming, budgets and operation of Summer Student Office

5)Promote the services provided by the student office to the community including summer job service, odd job squad, job orders, preparing resumes and cover letters, participating in mock interviews and workshops.

6)Negotiate and produce contractual agreements with all stakeholders

7)Maintain and monitor program expenditures such as program expenditures, monthly financial claims, workshop supplies and fees, advertising, travel and promotional material.

8)Identify student jobs and assist employers in finding suitable and eligible students through referrals.

9)Facilitate workshop and information sessions for students and employers

10)Act as liaison should issues need to be addressed between students and employers

11)Ensure capture of statistical results for reporting effectiveness and efficiency of Student Office.

12)Ensure students eligibility criteria meets federal and provincial guidelines

13)Market and Promote Summer Student Office

14)Act as a liaison between students, GREAT staff and employers

Data Collection and Reports

1) Responsible for all written correspondence, filing of essential records including student personnel files

2) Responsible for ensuring that policies and procedures in relation to the summer student office are up to date, including all relevant forms and reports.

3) Must ensure that all statistical and data related information is maintained and submitted to appropriate funders. By the fourth of each month, collect information and submit to Management for review.

4) Ensure all relevant information is accurately recorded in data systems such as CAMS and KETO in timely manner

D. ORGANIZATIONAL RELATIONSHIPS

TheSummer Student Office Coordinatorwill report to the Program Quality Manager and participate in supervision meetings at least once monthly.

E. PHYSICAL DEMANDS AND WORK ENVIRONMENT

While performing the duties of this job, the Summer Student Office Coordinator will spend most of his or her time in an office setting during regular hours of operation and working overtime when required. Will operate various types of office equipment. The physical demands for the above include: standing, sitting, walking, lifting, carrying, reaching, handling, kneeling, crouching, and bending. On occasion it may be necessary to visit employment sites which could include outdoor or manufacturing locations.

Non-physical demands are as follows. The noise level in the work environment is usually quiet to moderate. The nature of the position may expose theSummer Student Office Coordinator to a moderate level of tension and anxiety due to deadlines and the competing needs and demands for the limited financial and human resources. The position can expect frequent change of tasks, working closely with others as part of a team, and frequent tedious exacting work.
