The Seattle Animal Shelter Foundation is currently looking for an independent contractor or firm to assist in providing bookkeeping and accounting services for the organization. Interested parties should review the description below and submit a proposal no later than May 20th, 2014.

Position Summary: BOOKKEEPING AND ACCOUNTING SERVICES SUPPORT

  • This is an outsourced position with expectation of 8-10 hours per month, plus additional time for annual filings and reporting, with increased activity during our auction in October and at year-end.
  • Performs a wide variety of regular and recurring generally straightforwardbookkeeping functions under the guidance of the Treasurer
  • Currently, SASF does not have any paid employees. However, that may change in the future, so payroll experience would be helpful.

Position Responsibility:

  • Establishes and maintains accounting records, including accounts payable, accounts receivable, budget tracking, and general accounting.
  • Pays bills, including entering transactions into QuickBooks based on authorization, creating checks and electronic payments to vendors, but has no signature authority. Coordinate with authorized signers to have checks signed and remitted.
  • Prepares deposits andrecords receipts.
  • Record on-line contributions and special event activity into QuickBooks.
  • Prepares periodic invoices for payments.
  • Records pledges and payments received on the pledges.
  • Adjusts for restricted funds used or added each month.
  • Performs monthly reconciliationsof checking and investment accounts and other balance sheet accounts.
  • Prepares monthly financial reports for the Board in addition to period grant reporting requirements.
  • Prepares special reports, upon the Treasurer’s request.
  • Prepare annual filings, including 1099’s, State and City excise tax returns, WA corporation annual report and WA charitable solicitations renewal.
  • Assist in the preparation of the annual IRS Form 990, under the direction of the Treasurer or CPA firm.

Evaluation Criteria:

  • On time submittal: All proposals must be received by Tuesday, May 20, 2014 at 5:00PM to be considered. Proposals should be submitted to , attention Ivy Cunningham, President of the Board
  • Experience: the candidate must have expertise in accounting services and experience working with nonprofit organizations. Experience with eTapestry is preferred but not required.
  • Pricing: as a nonprofit organization, SASF is able to accept pro-bono and low-bono services and recognize the provider’s contribution to the full extent allowed by the IRS
  • Proposal presentation: the proposal is presented in a clear and comprehensive manner

Proposal Content:

  • A description of your experience in accounting services for nonprofit agencies, specifically detailing your experience related to the responsibilities outlined in the position description above.
  • Your fee structure or pricing model, any information regarding minimum time commitments, and any additional fees.
  • At least three references with the specifics regarding the role you played in the organization’s accounting activities

About the Seattle Animal Shelter Foundation:

The mission of the Seattle Animal Shelter Foundation (SASF) is to support the programs and initiatives of the Seattle Animal Shelter by engaging our community, increasing awareness and raising funds. SASF was founded in 2010 by a group of committed volunteers to generate private resources to improve the lives of the animals served by the City’s animal shelter. To date, the SASF has been 100% volunteer run and has granted more than $300,000 to the Shelter to enhance and expand adoption programs as well as spay and neuter services, improve shelter facilities and provide much needed training for staff and volunteers.
